What You’ll Do
Kirkland & Ellis is seeking an Operations Assistant to support the delivery of responsive, high-quality operations and guest services support in the Houston office. In this role, you’ll help coordinate daily facilities needs, office moves, event support, supply maintenance, and occasional reception coverage, partnering closely with administrative, operations, technology, catering, and guest services teams to keep the office organized, prepared, and client-ready.
- Support office operations: Assist with office moves, prepare workspaces for new arrivals, maintain floor plans and office utilization information, and help identify space planning needs.
- Coordinate facilities requests: Partner with the Senior Director of Administration and Operations team to schedule, track, report, and follow up on building maintenance and facilities-related requests.
- Enable successful meetings and events: Collaborate with Information Technology (IT) and catering teams to coordinate internal and external events, including supplies, signage, room setup, audiovisual (A/V) needs, catering, and related support.
- Maintain supplies and office readiness: Manage department, storage, and pantry supplies, monitor inventory, place orders, and help keep shared spaces stocked and organized.
- Manage operational records and reporting: Maintain documents and files related to repairs, utilities, permits, maintenance, vendor service contracts, office supplies, and facilities activity.
- Support purchasing and vendor processes: Process facilities and mailroom invoices, create requisition forms, process purchase orders, monitor order status, and track vendor service contracts.
- Provide guest services coverage: Assist with reception support by answering and directing calls, greeting guests, escorting visitors, assigning visiting offices, arranging conference rooms, and helping ensure meetings run on schedule.
- Coordinate visitor and conference logistics: Add guests to building security systems, arrange temporary internal IDs for visiting attorneys, reserve meeting space through EMS conference booking software, and capture details such as technology, catering, supplies, and support needs.
- Serve as a helpful office resource: Act as a knowledgeable point of contact by directing callers, visitors, and internal teams to the right people, departments, rooms, and resources.
- Assist with special projects: Provide general administrative support and take on additional tasks or projects as assigned by management.
What You’ll Bring
- Education: Bachelor’s degree preferred, or an equivalent combination of education and work experience required.
- Experience: 2+ years of experience in an operations or customer service role, preferably in a law firm or professional services environment.
- Client service mindset: A professional presence, strong phone manner, and commitment to providing responsive support to clients, visitors, attorneys, and colleagues.
- Communication skills: Excellent written and verbal communication skills, with the ability to answer calls, route requests, share information clearly, and support a polished visitor experience.
- Organization and prioritization: Strong attention to detail, sound judgment, and the ability to assess, prioritize, and manage multiple responsibilities with minimal supervision. ,
- Technical capability: Ability to type 40+ words per minute, manage multiple incoming phone lines, and work confidently with the internet, document management systems, and Microsoft Office Suite.
- Adaptability: A proactive, collaborative approach and the ability to stay organized and effective in a fast-moving office environment.
- Dependability: Regular and predictable attendance, with the ability to work overtime before or after the standard workday when needed.
