Ojai Valley School is a pre-kindergarten to grade 12 boarding and day school located on two campuses in Ojai, California. The Lower Campus serves students in grades PK-8 and the Upper Campus serves students in grades 9-12. Summary
Under the direction of the Head of Lower Campus, the Front Office Assistant will perform a wide variety of clerical and secretarial duties to coordinate school office activities and administrative tasks; perform public relations and communication services for the Directors of Lower Campus, and maintain accurate records and reports. The ideal candidate should have the ability to independently perform duties such as assisting parents, students, faculty, administration, and school visitors in such areas as registrar, information services, and primary secretarial support.
Essential Duties and Responsibilities:
- Serves as a receptionist for the school front office; provides clerical assistance to faculty and staff as needed.
- Serves as primary support to Directors of Lower Campus and/or other assigned supervisors; assists with various administrative matters as appropriate; works independently.
- Helps manage school photography.
- Monitors daily student attendance; maintains student document filing systems and record tracking.
- Supervises duties for lunch and recess.
- Is thoroughly advised and clear about roles during fire and disaster procedures; ensures training of faculty and staff.
- Maintains accurate records of volunteers entering campus.
- Receives notes and phone calls from parents/guardians in relation to absences, appointments and time away from school.
- Helps to coordinate the use, organization, and upkeep of the common areas used by all departments; supports maintenance in identifying needs and of buildings and grounds.
- Maintains campus cleanup and lost property.
- Coordinates the safety and security of staff, students and property (key check in/out, visitor check in/out, etc.).
- Requisition, receive, store and distribute supplies and office material; maintain materials and equipment inventory.
- Supports the school and its leadership; acts as a liaison between various internal and external parties (community, site personnel, parents etc.).
- Operate and have knowledge of a variety of office machines including copiers, calculators, computer equipment; open, receive and distribute all mail.
- Other duties as assigned.
QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and
procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of parents or employees of the organization. In addition, the following communications are required.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or
schedule form.
CERTIFICATES, LICENSES, REGISTRATIONS:
BLS or CPR Certificate
California Driver's License required.
