Medical Receptionist
Schedule: Mon, Tues, Wed, Thurs 8:30-5:00 p.m. or 9:00-5:30 p.m, Fri 7:00-3:30
SUMMARY
Under the direct supervision of the Practice Manager, the person in the position of Medical Receptionist is an important participant in patient satisfaction/patient experience. The Medical Receptionist must provide excellent customer service skills and meet the communication needs of the patients, office staff and medical staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Includes but not limited to the following:
Maintains a professional, respectful demeanor and collaborates effectively with clinical and administrative team members, and patients in a fast-paced environment.
Greets and checks in patients using the electronic medical record (EMR) system.
oObtains and verifies patient demographics and insurance and enters into EMR.
oVerifies demographic information for all patients annually.
oVerifies new patient information packets for new patients
Collects patient co-pays, deductibles and payments for services, strictly following the Office payment policies (the receptionist is responsible for explaining payment policies & collect payment in full at the time of service for self-pay patients).
oProvides information to patients regarding unpaid balances.
oVerifies insurance eligibility information for billing department in a timely manner.
oReceipt all cash received, according to procedures and gives to Practice Manager to witness.
Answers in-coming phone calls courteously (by 3rd ring), using professional phone etiquette
oPerform patient calls as requested by Practice Manager or Physician.
Retrieve messages left with the answering service or on voicemail periodically throughout the day.
Checks emails periodically throughout the day.
Schedules patient appointments and procedures according to established protocol in conjunction with the appointment coordinator/referral coordinator.
Copy patient information and forward to requesting party after receiving appropriate consent to release medical records.
Perform clerical duties (e.g., photocopying, typing, emailing, mailing, faxing, etc.)
Scans all patient documentation into patient’s EMR. Ensure that all forms are complete and charges are correct and complete prior to scanning and shredding all original documents.
Covers various front office positions while other front office staff are out on their break or lunch time as appropriate.
Miscellaneous tasks assigned by management should be successfully performed in between time.
Maintain clean, neat waiting area. Check waiting room periodically for cleanliness. Check waiting area to make sure television is on appropriate channel. Stock supplies at front desk and other areas of the office as instructed by Office Manager or supervisor.
Perform other related duties as directed or assigned.
EDUCATION and/or EXPERIENCE
The employee performing this position is expected to hold a high school diploma or general education degree (“GED”); and at least three months (preferably six months) related experience (e.g., health care setting, customer service, etc.) and/or training; or equivalent combination of education and experience. The employee performing this position is expected to have some experience with medical terminology and understanding of medical insurance process. She/he must be able to understand or quickly learn about the differences between and among patients with private insurance, Medicare, CCAH, Workers’ Compensation and self-paying patients, etc.
PREFERRED
Bilingual in Spanish required.
