Responsibilities
- Manage all aspects of property accounting, including rent collection, expense tracking, budgeting, and financial reporting using property management tools such as Door King, Quick Books, Sage.
- Oversee lease or rental agreement management, ensuring accuracy, compliance with Fair Housing regulations, and adherence to landlord-tenant law.
- Coordinate property maintenance and facilities management activities to ensure properties are well-maintained, safe, and compliant with legal standards.
- Lead a team of administrative staff and leasing agents, providing guidance on conflict management, customer service excellence, and operational procedures.
- Maintain detailed records through data entry, filing, ensuring all documentation is accurate and up-to-date.
- Communicate effectively with clients, tenants, vendors, and contractors to resolve issues promptly while upholding professional phone etiquette and customer relationship management standards.
- Negotiate contracts related to property services, lease agreements, or vendor arrangements to optimize costs and service quality.
- Ensure compliance with SF MOH housing programs, and other federal/state regulations governing affordable housing properties.
- Conduct regular inspections using property management tools to assess property conditions and coordinate necessary repairs or upgrades.
Skills
- Proficiency in Quickbooks, Door King, Sage or similar property management software; strong data entry and reporting skills.
- Extensive knowledge of landlord-tenant law, San Francisco MOH.
- Proven experience in property management company operations including leasing, rent collection, budgeting, facilities maintenance, and client communication.
- Excellent conflict management skills coupled with the ability to handle difficult situations professionally while maintaining positive tenant relationships.
- Strong administrative experience with Microsoft Office Suite (Word, Excel), filing systems, and customer relationship management tools.
- Ability to manage multiple tasks efficiently in office environments while demonstrating excellent phone etiquette and customer service skills.
- Experience in sales or upselling within the property leasing context; adept at negotiation to maximize occupancy rates and revenue.
- Effective team management skills with the ability to motivate staff while fostering a collaborative work environment focused on service excellence.
