TMS Technician / Patient Care & Office Coordinator
Balance Psychiatric & Wellness Clinic is seeking a compassionate, reliable, and detail-oriented TMS Technician / Patient Care & Office Coordinator to support our growing TMS program and assist with daily clinic operations.
This role is primarily responsible for supporting patients receiving Transcranial Magnetic Stimulation treatment. When not assisting with TMS services, this position will also help with front desk, scheduling, intake, and office coordination tasks.
Primary Responsibilities
- Prepare the TMS treatment room and equipment before each session.
- Welcome patients and create a calm, supportive treatment environment.
- Confirm patient identity and appointment information.
- Assist patients with positioning and comfort during treatment.
- Follow provider-directed TMS treatment protocols exactly as ordered.
- Monitor patients during treatment for comfort, side effects, or concerns.
- Report any patient concerns, side effects, or equipment issues immediately.
- Document TMS session information accurately in the EHR.
- Assist with TMS scheduling and treatment-series tracking.
- Help coordinate TMS paperwork, authorizations, and patient communication.
- Clean and reset the TMS room after each session.
- Follow all clinic safety, infection-control, and HIPAA procedures.
- Complete required TMS training and demonstrate competency.
Secondary Responsibilities
- Answer phones and route calls appropriately.
- Greet patients and visitors professionally.
- Check patients in and out for appointments.
- Schedule, confirm, and reschedule appointments.
- Assist with patient intake paperwork and consent forms.
- Upload insurance cards, IDs, and other required documents.
- Update patient demographic and insurance information.
- Collect copays or payments as directed.
- Assist with insurance, referral, and prior authorization workflows.
- Scan, upload, and organize documents in the EHR.
- Take and record patient vitals when trained and assigned.
- Maintain a clean and welcoming reception and clinic environment.
- Monitor office supplies and notify leadership when items are needed.
- Assist with other administrative or patient-support tasks as assigned.
Required Qualifications
- High school diploma or equivalent.
- Strong communication and customer service skills.
- Professional, compassionate, and patient-centered demeanor.
- Ability to remain calm and supportive with patients.
- Strong attention to detail.
- Ability to follow written and verbal instructions carefully.
- Comfortable using computers, phones, email, and office equipment.
- Ability to learn and use an Electronic Health Record system.
- Ability to maintain strict confidentiality and follow HIPAA requirements.
- Reliable attendance and punctuality.
- Willingness to complete TMS, HIPAA, safety, and clinic-specific training.
- Ability to pass required background checks.
Preferred Qualifications
- Experience in a medical office, behavioral health clinic, or psychiatric setting.
- Experience as a TMS Technician, Medical Assistant, Receptionist, or Patient Care Coordinator.
- Experience with SimplePractice or another EHR system.
- Experience with scheduling, insurance verification, referrals, or prior authorizations.
- CPR/BLS certification or willingness to obtain if required.
- Interest in mental health, patient care, and TMS treatment.
