Insurance Operations & Business Development Coordinator

Position Overview
We are seeking a career-minded Insurance Operations & Business Development Coordinator to support our growing insurance and business consulting organization.
This is not an entry-level “temporary” or student-oriented position. We are specifically looking for a professional candidate seeking long-term growth, stability, advancement opportunities, and increased responsibility within the same organization over time.
The ideal candidate is highly organized, outgoing, technology proficient, and comfortable communicating with people throughout the day. This role combines operations support, CRM and business systems management, outbound appointment coordination, prospect follow-up, and administrative support in a fast-paced professional environment.
A large portion of this role involves interacting with prospects by phone, social media, email, and technology platforms to coordinate meetings and schedule appointments for the sales and consulting team. Candidates must be comfortable making outbound calls consistently throughout the day while maintaining professionalism, positivity, and strong communication skills.

Key Responsibilities
- Support insurance agents, consultants, and leadership with daily operational and administrative tasks
- Input and maintain business planning data, client records, and operational information within company systems
- Work extensively inside CRM, workflow management, and operational tracking systems such as Monday.com or similar platforms
- Manage and organize pipelines, files, follow-ups, and operational processes with accuracy and consistency
- Conduct outbound calls to prospective clients and leads to coordinate appointments for the sales and consulting team
- Follow up with prospects through phone calls, email, social media systems, and business communication platforms
- Schedule meetings and video calls using Google Workspace tools including Google Calendar, Google Meet, Gmail, and Google Drive
- Coordinate with insurance carriers regarding agent onboarding, appointments, and licensing updates
- Process and organize policy paperwork and operational documentation
- Maintain accurate records, notes, updates, and communications across multiple systems simultaneously
- Participate in regular oversight, accountability, and operational review meetings with management
- Work collaboratively with team members while also being able to operate independently and stay self-directed throughout the day
Required Qualifications
- Bachelor’s degree required
- Must be seeking a long-term career opportunity with advancement potential

- Strong technology and computer proficiency is absolutely required
- Must already be comfortable using CRM systems such as Monday.com or similar workflow/project management platforms
- Must be highly comfortable working inside Google Workspace systems on a daily basis
- Strong data entry, organizational, and multitasking skills required
- Excellent verbal communication and professional phone skills required
- Must be comfortable making outbound calls throughout the day to coordinate appointments and prospect follow-up
- Comfortable interacting with prospects through technology systems and social media communication platforms
- Positive, outgoing, professional, and dependable personality required
- Strong attention to detail and ability to follow structured operational systems consistently
- Must be able to work efficiently in a fast-paced, team-oriented environment
- Self-starter mentality with strong follow-through and accountability
- Must be comfortable receiving oversight, direction, and performance review from management
- Prior office operations, administrative support, CRM coordination, insurance support, business consulting support, scheduling, or customer communication experience preferred
Preferred Experience
- Experience with Monday.com, CRM systems, pipeline management platforms, or operational workflow software
- Experience scheduling appointments or coordinating outbound business development communication
- Experience in insurance operations, business consulting, sales support, or administrative coordination environments
- Familiarity with business planning systems, operational tracking, or client management workflows
