Job Description - REMOTE
Policy: The Operations Manager/Supervisor is responsible for directly supervising employees in accordance with policies and programmatic decisions of Kept, Inc., working as the management team with the Executive Director. *Position based on 40 hours a week with an annual salary of $40,950. Required 1 IN-PERSON TEAM MEETING PER MONTH in Louisville, Kentucky.
Basic Functions and Responsibilities:
1. The supervisor will be in direct contact with all employees of Kept Inc to fully ensure all policies, programs, work hours, remote work, security and pay-for-performance is adhered to in collaboration with the Executive Director
2. Coordinate weekly account manager pay-for-performance meetings to review current adherence to goals and metrics.
3. The supervisor will collaborate on the hiring, bonuses, denials and firing of employees with the Executive Director.
4. Conduct training and monthly meetings with employees of Kept Inc to ensure policy and program compliance.
5. Coordinate and conduct Social Security contact and resolution on a weekly basis for report/benefit success with account managers.
6. Field client/employee grievances within Kept Inc to resolve discrepancies and adherence to policies/procedures.
7. Be steadfast in fraud prevention and intervention resolution.
8. Review client account balances weekly for overages or shortages.
9. Provide consultation and coordination for budget errors and client balance troubleshooting with the Executive Director and Account Managers.
10. Conduct SSA reviews, as delegated.
11. In instances where the Executive Director is not available, the supervisor will be a liaison with the client, family/guardian/caseworker/staff.
12. The supervisor will be responsible for ensuring that organizational rep payee roles/responsibilities are completed as required.
13. The supervisor will be responsible for working with the Executive Director in developing sound personnel administration policies and is accountable for their implementation.
14. Issues with employees following policies,procedures and/or creating disharmony in the workforce will be coordinated with the Executive Director for possible resolution.
15. Institute proper and appropriate management controls while maintaining upper level management discretion upon employees. Maintain financial, personnel, security, and other such controls and records as may be required, necessary, or desired.
16. The supervisor will ensure day-to-day operations of banking systems to include the main client account, stable/burial accounts, operating account, truelink cards, etc to cover ACH payments, TrueLink deposits, administrator bill pay, deposits, void/cancelled checks, transfers, positive pay reports, ach batch runs, etc.
17. The supervisor will enter and change vendors in accordance with Kept Inc account payments.
18. As needed, the supervisor will troubleshoot/problem-solve bank level bill pay issues and banking reconciliations issues with the Executive Director.
19. Identify and enter bank level refunds, as necessary.
20. The supervisor will be responsible for reviewing and auditing the fiduciary database, google files, AirCall phone system, Lockwell VPN, annual reviews and tracking sheets for Account Manager compliance with policy and procedures.
21. Manage payroll for all staff.
22. Coordinating and preparing reports with the Executive Director.
23. Attend to all administrative duties as assigned by Executive Director.
Required Skills and Qualifications:
- Education: minimum Associates or Bachelor’s degree in Management, Finance, or a related field OR will accept in place of Education: Previous experience in company finances, audit/record keeping, management, operations or supervision (3+ years preferred).
- Soft Skills: Strong analytical skills, attention to detail, and the ability to work independently.
- Proven leadership capabilities with experience managing teams responsible for financial services including accounts payable/receivable and treasury functions.
- Ability to perform detailed account analysis while maintaining a big-picture perspective on organizational objectives.
- Strong understanding of compliance management related to basic accounting standards and risk management practices.
- Effective communicator with the ability to collaborate across departments on technical issues.
Have a state police criminal record check for any state resided in during the previous year. If there is a prior conviction of any offense delineated in KRS Chapter 17.165 (1)-(3) or prior felony conviction, the applicant shall not be employed. Possess the ability to speak, write, and problem-solve and the ability to maintain records in a clear and concise manner. Possess the ability to handle multiple tasks, be computer literate, possess a required valid state driver’s license, insurance, and reliable transportation. Ability to understand and commit to the Kept, Inc. mission and values.
