Job Summary
The billing specialist ensures accurate documentation, efficient billing, and timely communication while supporting technicians, resolving customer issues, and maintaining organized records across operations. The billing specialist must use their administrative skills to manage multiple priorities and uphold professional standards in a fast-paced environment.
Key Responsibilities
- Prepares invoices to be sent to customer.
- Manage subcontractor invoices.
- Create and evaluate billing practices and procedures keeping efficiency, margins, and universal business acumen as a top priority.
- Generate service quotes.
- Coordinate billing and invoices for rental equipment.
- Ensure proper repair order documentation, i.e., complaint, cause, correction and contact information is noted on every work order.
- Maintain clear and concise communications with managers, employees, and customers.
- Resolve customer disputes.
- Respond to all messages and e-mails in a timely manner.
- Ensure that technicians follow warranty procedures if applicable.
- Update customer information as needed.
- Maintain a professional appearance and attitude.
Qualifications

- Excellent problem-solving skills.
- Ability to use all general office equipment, including a computer, and must have knowledge of common office software products to manage billing and paperwork.
- Strong attention to detail.

- Pass required drug screening per company policy.
- Maintain a valid driver’s license and meet company insurance requirements with the ability to drive long distances.
- Communicate clearly and effectively in person, by phone, video, email, and other electronic formats.
- Read, interpret, and follow written procedures, policies, and instructions.
- Maintain confidentiality and handle sensitive information appropriately.
- Manage multiple priorities, meet deadlines, and adapt to changing demands.
- Perform repetitive motions, and prolonged computer or device use as required by role.
- Work standard business hours with flexibility based on role needs.
- Maintain organized digital & physical filing systems.
- Manage time sensitive requests calmly and accurately.
- Provide general administrative support across departments.
- Communicate effectively with employees across all organizational levels.
- Visually review documents and screens for accuracy and completeness.
- Coordinate multiple initiatives and employee events simultaneously.
- Work independently on complex technical tasks.
- Document technical work clearly and explain concepts to non-technical users.
- Travel occasionally between IN and KY offices.
- Work effectively in shared office environments with moderate noise and interruptions.
- Support meetings and events, including standing or walking for moderate periods.
- Sit, stand, and change positions throughout the workday.
- Lift, carry, and move office materials or equipment (20-40 lbs.)
- Bend, reach, and stoop for filing, equipment access, or workspace organization.
- Lift and transport event materials (up to 30 lbs.)
- Work occasional non-standard hours for events.
- Represent the company professionally at events and public venues.
- Adapt communication styles to diverse populations.
