Summary/Objective
The HR Coordinator provides administrative, operational, and program coordination support across the Human Resources department with a primary focus on employee training and development. This position coordinates the organization's training programs, onboarding activities, recruiting administration, HRIS maintenance, employee communications, and HR administrative processes to ensure exceptional employee experience.
Working closely with the HR Generalist – Talent & Engagement and HR Generalist – Operations, the HR Coordinator ensures Human Resources programs are executed accurately, efficiently, and consistently while supporting SSP's continued growth, Top Workplace culture, and EOS operating model.
Essential Job Responsibilities:
Training & Development Coordination (40%)
- Coordinate the organization's annual training calendar and training schedules.
- Schedule instructor-led, virtual, and on-the-job training sessions.
- Maintain employee training records, certifications, licenses, and qualification matrices.
- Assign required onboarding, compliance, and recurring training through UKG Ready and other learning platforms.
- Monitor training completion and communicate overdue training to employees and supervisors.
- Coordinate new hire onboarding training and orientation logistics.
- Assist with developing and updating training materials, presentations, SOPs, job aids, and learning resources.
- Prepare training reports and dashboards for leadership.
- Maintain audit-ready training documentation.
Recruiting & Onboarding Coordination (15%)
- Coordinate interview scheduling with hiring managers and candidates.
- Respond to candidate inquiries and communicate recruiting status.
- Coordinate pre-employment activities including background checks and onboarding requirements.
- Create new hire profiles within UKG Ready and ensure data accuracy.
- Prepare onboarding materials and coordinate first-day activities.
- Assist with new hire orientation.
- Enter new hire benefit elections and required documentation.
- Process employment verification requests.
HR Administration & HRIS (25%)
- Monitor the HR inbox and HR phone; route employee requests to the appropriate HR team member.
- Maintain accurate employee personnel files and electronic HR records.
- Process employee changes within UKG Ready, including:
o Address changes
o Direct deposit updates
o Benefit enrollments
o Pay changes and promotions
o Schedule changes
o Organizational structure updates
o Job changes and terminations
o Reimbursements and payroll deductions
- Audit employee records and HR documentation for completeness and accuracy.
- Generate HR reports and dashboards.
- Maintain HR forms, templates, and standard operating procedures.
- Scan, file, and maintain payroll notes and HR documentation.
- Maintain My90 assignments and HR data accuracy.
Employee Communications & Engagement (10%)
- Update company TV monitors, bulletin boards, and intranet communications.
- Create birthday, anniversary, new hire, and promotion recognition slides.
- Publish the monthly employee fun calendar.
- Assist with employee appreciation events, recognition programs, fundraisers, raffles, and company activities.
- Coordinate employee swag orders and inventory.
- Prepare Shop Talk slides and upload communications to the intranet.
- Coordinate flowers, sympathy cards, and employee announcements.
Office & Operational Support (10%)
- Maintain HR office supplies, onboarding materials, and uniform inventory.
- Coordinate uniform ordering, exchanges, and employee requests.
- Process HR-related SSP Help Desk requests, including badges and personnel changes.
- Update approved driver lists and coordinate MVR processing.
- Maintain required labor law postings and bulletin boards.
- Clear iLobby visitor logs and complete periodic administrative audits.
- Support payroll documentation and HR mail distribution.
- Assist with departmental projects and continuous improvement initiatives.
Qualifications
- Associate degree in Human Resources, Business Administration, or a related field preferred.
- Two or more years of administrative or Human Resources experience.
- Experience coordinating training, onboarding, or employee programs preferred.
- Experience with HRIS systems; UKG Ready experience preferred.
- Strong organizational and time management skills with the ability to prioritize multiple projects.
- Excellent written and verbal communication skills.
- High attention to detail and commitment to accuracy.
- Ability to maintain confidentiality and exercise sound judgment.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams)
Work Environment
- Office environment with frequent walking/standing on the production floor
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift to 15 pounds at times.
- Must be able to perform all operations necessary for training.
- Must be able to assess proficiency of trainees.
