POSITION SUMMARY
The Patient Experience Specialist is responsible for creating an outstanding experience for every patient from the moment they contact our office until they leave.
This position owns the front desk experience by providing exceptional customer service, maintaining an organized reception area, answering phones professionally, scheduling appointments, collecting payments, and ensuring smooth patient flow throughout the day.
This is an entry-level opportunity designed for individuals with strong customer service skills who are eager to learn dentistry and grow into advanced administrative and leadership roles.
No prior dental experience is required. We will teach the dental knowledge. We cannot teach a positive attitude, professionalism, accountability, and a desire to serve others.
Hours: 7:30am - 5:00pm Mon-Friday

WHAT YOU'LL DO
Patient Experience
- Welcome every patient with professionalism and enthusiasm.
- Create a warm, organized, and efficient front office environment.
- Deliver exceptional first and last impressions.
Front Office Operations
- Answer incoming phone calls.
- Schedule patient appointments using established scheduling templates.
- Check patients in and out.
- Collect payments.
- Process paperwork and patient forms.
- Maintain an organized reception area.
- Assist with daily office opening and closing procedures.
Communication
- Professionally communicate with patients.
- Coordinate with clinical team members.
- Escalate concerns appropriately.
- Follow established communication standards.
Daily Operations
- Complete front office checklists.
- Maintain appointment accuracy.
- Confirm appointments.
- Assist with patient flow.
- Support team members when needed.

EDUCATION & EXPERIENCE
- High school diploma or equivalent; additional certification in office administration or dental office management is a plus.
- Minimum of 1-2 years of experience in a dental office or healthcare setting preferred (not required - training available)
- Knowledge of dental terminology, procedures, and insurance processes is highly desirable.
- Proficiency in dental office software (e.g., Open Dental) and Microsoft Office Suite, G-Suite
- Strong communication skills, both verbal and written.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Excellent organizational skills and attention to detail.
- Friendly and professional appearance with a patient-centered attitude.
- Ability to handle sensitive and confidential information with discretion.
- Bilingual abilities (English/Spanish) are a plus.
PHYSICAL REQUIREMENTS
- Ability to sit or stand for extended periods.
- Occasionally lift or move office supplies or files up to 25 pounds.
- Ability to operate office equipment such as computers, fax machines, and telephones.
- Visual acuity to read patient files, insurance forms, and electronic records.
