About the Position
Back to Health Non-Surgical is looking for an experienced, highly capable Executive Administrative & Patient Coordinator to become an important part of our team.
This is not a traditional receptionist position. We are looking for someone who is organized, dependable, professional, comfortable with technology, and capable of taking ownership of a wide variety of responsibilities.
Our practice is busy, fast-paced, and patient-focused. The right person will be comfortable interacting with patients, managing multiple priorities, learning new software and systems, and helping keep the day-to-day operation of the office running smoothly.
We are willing to train the right person on our specific systems and processes. What we cannot easily teach is initiative, professionalism, reliability, common sense, and the ability to learn.
What You'll Do
This position combines patient coordination, front-office operations, administrative support, and general office management.
Responsibilities may include:
- Greet and communicate with patients in a warm, professional manner
- Manage patient scheduling, confirmations, cancellations, and follow-up
- Answer phones, emails, and other patient communications
- Coordinate new patient appointments and intake processes
- Maintain accurate patient records and documentation
- Process payments and assist with financial coordination
- Communicate treatment plans, appointments, and office policies to patients
- Assist with patient retention and follow-up
- Manage multiple computer programs and systems simultaneously
- Enter, organize, and maintain information accurately
- Prepare documents, correspondence, reports, and spreadsheets
- Assist with administrative projects and special assignments
- Help coordinate the daily workflow of the office
- Communicate effectively with doctors and other members of the team
- Learn and utilize new software, technology, and office systems
- Identify problems and take initiative to resolve them rather than waiting to be told what to do
- Maintain confidentiality and professionalism when handling sensitive information
- Assist with other administrative responsibilities as needed

Technology Skills
You do not need to know our specific software before starting.
However, you should be someone who is very comfortable with technology and can quickly learn new programs.
Experience with the following is helpful:
- Microsoft Word
- Microsoft Excel
- Outlook/email
- Electronic health records
- Scheduling software
- Payment processing systems
- CRM or customer-management software
- Digital document management
- Online communication platforms
- AI and other modern productivity tools
If you are the person everyone at work comes to when they can't figure out how to do something on the computer, that's a good sign.
Who Will Be Successful in This Position?
The person who succeeds here will not simply wait for a list of tasks.
They will notice what needs to be done, prioritize it, communicate with the team, and take action.
You may be answering a patient's question one minute, scheduling an appointment the next, working on a spreadsheet, helping solve an administrative problem, and then assisting with another project.
You need to be able to switch gears while maintaining accuracy and professionalism.

Compensation
$17–$22 per hour based on experience, qualifications, and demonstrated ability.
We are willing to pay toward the top of the range for a candidate who brings significant experience, strong technology skills, excellent communication, and the ability to take ownership of the position.
Additional compensation and benefits may be available based on performance, responsibilities, and tenure.
Schedule
Monday–Thursday
Approximately 30–40 hours per week, with a target of approximately 35 hours.
Our practice is not a traditional "time-clock" environment. Patient needs and the demands of the practice occasionally require flexibility with start/end times. At other times, the day's work may be completed earlier.
The right candidate should appreciate a professional environment where the focus is on serving patients and getting the job done, rather than simply watching the clock.

- Experience working in a busy healthcare or professional office
