Position Summary
The Office Manager is responsible for supporting the daily operations of the office and helping ensure administrative, accounting, training, and support functions are completed accurately and efficiently. This position requires strong organization, attention to detail, confidentiality, and the ability to balance day-to-day office needs with recurring accounting deadlines.
Essential Duties and Responsibilities
· Oversee daily office operations and help maintain an organized, professional, and efficient office environment.
· Answer phones, respond to emails, distribute messages, and support general communication throughout the office.
· Maintain office files, records, forms, and documentation in an accurate and organized manner.
· Order and maintain office supplies, equipment, and materials as needed.
· Assist with scheduling, meetings, calendars, mail, shipping, and other administrative tasks.
· Support management with special projects, reports, follow-up items, and day-to-day operational needs.
Accounting and Month-End Support
· Assist with basic accounting functions, including gathering, organizing, and reviewing documents needed for month-end close.
· Collect invoices, receipts, statements, purchase orders, and other supporting documentation for accounting review.
· Help match invoices, confirm proper approvals, and follow up on missing or incomplete documentation.
· Assist with accounts payable and accounts receivable support, as assigned.
· Prepare, scan, file, and maintain accounting-related records in accordance with company procedures.
· Coordinate with management, accounting staff, outside accountants, or vendors to obtain information needed for reporting and month-end processes.
· Maintain confidentiality when handling financial, employee, vendor, and company information.
Qualifications and Skills
· Prior office administration, office management, bookkeeping, or basic accounting experience preferred.
· Strong organizational skills and ability to manage multiple tasks and deadlines.
· High attention to detail and accuracy, especially when working with financial documents and records.
· Ability to communicate professionally with employees, customers, vendors, and management.
· Comfortable using Microsoft Office programs, email, electronic files, and basic office equipment.
· Ability to work independently, take initiative, and follow through on assigned tasks.
· Must be dependable, trustworthy, and able to maintain confidentiality.
Physical and Work Requirements
· Ability to sit, stand, use a computer, answer phones, and perform general office tasks for extended periods of time.
· Ability to lift or move office supplies and materials as needed.
· Must be able to work in an office environment and adjust priorities based on business needs.
· Regular and reliable attendance is required.
Pay: $55,000.00 - $65,000.00 per year
