Job Description
- Perform various administrative tasks to support the smooth operation of the office
- Manage and maintain office supplies and inventory
- Answer and direct phone calls, take messages, and handle inquiries in a professional manner
- Schedule and coordinate appointments, meetings, and events (including client seminars)
- Assist with payroll processing and maintain employee records
- Manage vendor relationships and negotiate contracts
- Maintain an organized and confidential filing system for documents, records, and correspondence
- Oversee the maintenance of office equipment and coordinate repairs or replacements
- Interact with IT, phone and maintenance personnel as needed
- Manage the office reception and conference rooms
- Provide office guests with a hospitable experience
Qualifications
- Proven experience as an Office Administrator or in a similar role
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Strong organizational skills with the ability to prioritize tasks and manage time effectively
- Excellent communication skills, both written and verbal and proficient math ability
- Ability to maintain confidentiality and handle sensitive information with discretion
- Experience in training development is a plus
- Professional appearance and demeanor
- Punctuality and smart time management skills are a must
The_ ideal candidate_ will be in charge of the organization and efficiency of daily office operations. From scheduling client/prospect meetings, to communicating between OSJ (home office), broker/dealer and branch.
You will be responsible for completing multi-level tasks in a professional and timely manner (and learn them in a relatively short time).
You will also be responsible for creating, maintaining and updating the sales pipeline
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
