Position Overview
We’re looking for a proactive, growth-minded Executive Assistant to support the CEO across City of Trees Real Estate, Real Estate Growth Network, coaching and media initiatives, and personal executive tasks. You’ll keep priorities moving, projects on track, and communication organized, anticipating needs and following through without needing constant direction.
This is a great opportunity for someone early in their career to learn directly from an entrepreneur running multiple businesses. The right attitude, flexibility, and eagerness to grow matter more to us than a long resume.
Key Responsibilities
Executive Support
- Manage the CEO’s calendar, inbox, communications, and meeting scheduling across multiple businesses
- Attend meetings, track action items, and follow through on priorities and deadlines
- Coordinate travel planning and logistics
- Prepare agendas, summaries, and research to support decision-making
- Handle confidential information with professionalism
Project & Operational Coordination
- Track projects, communicate updates, and ensure follow-through across teams, managing shifting priorities with confidence
- Help organize systems, workflows, and business initiatives
- Make outbound calls to support sales or business projects when needed
Content & Media Support (No Editing Expertise Required)
- Coordinate scheduling and logistics for content creation, podcasts, and media shoots
- Help organize content ideas, assets, and follow-through on content plans
- Comfortable with technology and willing to learn simple content tools; expert editing skills not required
Office Operations & Vendor Coordination
- Oversee office organization, supplies, and common areas
- Coordinate with vendors including cleaners, maintenance, building management, and repair technicians
Personal Executive Support
- Run occasional errands and assist with personal appointments and administrative coordination as needed
