Job Overview
Our company services the sanitary processing industry with solution-oriented sanitary process design and installations. We are seeking a highly organized Order Entry Clerk to work closely with different department team. This role is responsible for processing orders, managing project documentation, tracking shipments, maintaining customer information, and supporting overall order management from start to finish.
Key Responsibilities
- Enter customer quotes and orders into the order system (Sage 100/MAS) create purchase orders and confirm accuracy of pricing, delivery dates, and inventory status.
- Receive and process orders for materials, update shipping status, and notify customers of backorders or delivery delays.
- Maintain appropriate records and provide regular reports to management.
- Manage customer and internal returns.
- Ensure all documents (packers, freight, invoices, drawings, purchase orders, etc.) are properly stored in the paperless system.
- Organize project documents, maintain logs, and run project cost reports as needed.
- Enter down payments, progress, and final invoices for orders.
- Audit orders for accuracy, open/unreceived items, and proper documentation before closing.
- Research and resolve order discrepancies and update the system accordingly.
- Prepare packing lists or other order-related documentation as needed.
- Provide daily and weekly, updates to management.
- Perform other administrative or clerical tasks related to specific departments.
Qualifications Required
- High school diploma or equivalent (Associate degree preferred).
- 3+ years of order entry experience (preferred).
- Knowledge of sanitary or industrial equipment is a plus (training provided).
- Strong computer skills; experience with Sage 100, CRM, and paperless systems preferred.
- Proficient in Microsoft Office, especially Excel.
- Detail-oriented with excellent problem-solving skills.
- Strong interpersonal and communication skills.
- Self-assured, organized, and confident in decision-making.

Job Type: Full-time
Pay: $23.50 - $28.00 per hour
