McRae's U.S. Mail Service has been a trusted transportation provider since 1987 and is one of the largest USPS transportation contractors in Wisconsin. In addition to our mail operations, we operate a growing freight division and manage a large fleet of tractors, trailers, and box trucks throughout Wisconsin and Minnesota.
We are seeking a detail-oriented Transportation Validation Specialist to join our operations team. This position plays a critical role in ensuring the accuracy of payroll, route data, driver activity, and operational reporting.
Position Summary
The Transportation Validation Specialist is responsible for reviewing and validating transportation data across multiple systems to ensure driver pay, route information, and operational records are accurate and complete. This role works closely with dispatch, payroll, operations, and management to identify discrepancies, investigate issues, and maintain data integrity.
This position is ideal for someone who enjoys problem-solving, working with data, and supporting transportation operations behind the scenes.
Essential Duties & Responsibilities
- Review and validate driver payroll data prior to processing.
- Audit timecards, trip records, and route activity for accuracy.
- Review Samsara data, GPS records, and operational reports.
- Validate route completion information and transportation records within the company's Transportation Management System (TMS).
- Investigate payroll, mileage, and route discrepancies.
- Work closely with dispatch, payroll, and management teams to resolve issues.
- Maintain spreadsheets, reports, and operational tracking tools.
- Assist with transportation reporting and performance metrics.
- Support compliance and documentation requirements.
- Identify opportunities to improve processes and operational efficiency.
- Perform other administrative and operational support duties as assigned.
Qualifications
- Strong attention to detail and accuracy.
- Excellent organizational and problem-solving skills.
- Ability to work independently and manage multiple priorities.
- Intermediate to advanced Microsoft Excel skills.
- Strong communication and follow-up skills.
- Ability to learn and navigate multiple software systems.
Preferred Experience
- Transportation, logistics, dispatch, or fleet operations experience.
- Experience reviewing payroll or timekeeping records.
- Experience with Samsara or similar fleet management platforms.
- Experience with Transportation Management Systems (TMS).
- Administrative, auditing, or data validation experience.
Schedule & Work Environment
This is a full-time, in-office position working 40 hours per week, typically Monday through Friday from 8:00 a.m. to 4:00 p.m.
While the schedule is generally consistent, some flexibility is available. This role is an important part of our transportation and payroll operations, so dependability, accountability, and regular attendance are essential.
Occasional schedule adjustments may be required during payroll weeks that include a holiday to ensure payroll deadlines are met and employees are paid accurately and on time.
