Job Summary
We are seeking a highly motivated and detail-oriented Senior Payroll & HR Specialist to join our dynamic team. In this pivotal role, the employee is responsible for all facets of payroll administration, HRIS systems management, personnel records, and attendance tracking, while providing critical reporting and analysis. Reflecting a higher level of compensation, this role requires a strong foundational knowledge of basic accounting principles and active involvement in recruitment support. The ideal candidate will seamlessly bridge payroll functions with corporate accounting (ensuring accurate general ledger integration and reconciliations), while partnering with HR to assist with onboarding, recruitment talent sourcing, and benefit administration.
Responsibilities:
Payroll & Accounting Integration
Assist with and prepare bi-weekly payroll for employees, ensuring the timely, compliant, and accurate processing of paychecks.
Prepare monthly journal entries, ensuring the accurate reporting and allocation of all payroll dollars to the general ledger (GL).
Analyze and reconcile general ledger payroll accounts monthly to ensure accurate entries are being made and discrepancies are resolved promptly.
Prepare and maintain accurate vacation/sick/personal leave accruals for salaried and hourly employees to be recorded to the general ledger.
Prepare payments and reports to different states for Workers' Compensation to meet all required state and federal laws and regulations.
Responsible for the accurate recording of wages and maintaining total compliance with all government tax laws and payroll requirements.
Recruitment & Talent Acquisition Support
Assist the HR team with recruitment efforts, including posting open positions to job boards, sorting resumes, and coordinating interview schedules.
Conduct initial phone screenings or basic background/reference checks for incoming candidates as needed.
Manage the pre-employment process (e.g., drug screens, background checks) and ensure seamless preparation for new hire onboarding.
Participate in job fairs or community recruitment events representing the company when required.
HRIS, Benefits & Employee Records
Processes hourly status changes and oversees the meticulous maintenance of confidential personnel records.
Responsible for updating and auditing employee attendance records and tracking systems.
Assists with some aspects of FMLA and Short-Term Disability activities, including contact with medical providers and record-keeping. (Information must be kept strictly confidential and accurate in accordance with U.S. federal government and HIPAA laws.)
Assists with the workers’ compensation claims process, including initial claims reporting and maintenance of all related records.
Assist with benefit enrollment, maintenance, and regular benefit bill auditing.
Administrative & Team Support
Participates in Human Resources and Finance Department projects as assigned.
Other duties assigned to complete the strategic goals of the HR, Payroll, and Finance departments.
Education & Experience Requirements:
Experience: 3–5 years of progressive experience in Payroll processing, preferably with some exposure to HR or recruitment support.
Accounting Foundation: Proven foundational knowledge of basic accounting principles (understanding of debits/credits, payroll journal entries, and GL account reconciliations) is required.
Software Proficiency: * Strong experience with Paycom (HR/Payroll Software) is highly preferred.
Excellent computer skills, including deep familiarity with HRIS systems, Applicant Tracking Systems (ATS), and Microsoft Office (Word, PowerPoint).
Advanced Excel skills are required (must be proficient with Pivot Tables, VLOOKUPs/XLOOKUPs, and complex data manipulation).
Regulatory Knowledge: Solid, up-to-date knowledge of all local, state, and federal payroll laws (including payroll tax, wage-and-hour laws, and employee benefits).
Communication: Excellent interpersonal, written, and verbal communication skills. Able to foster professional relationships with a diverse population of employees and external job candidates.
Pay: $70,000.00 - $75,000.00 per year
