ASSISTANT FISCAL OFFICER
Job Description
Position Summary
The Assistant Fiscal Officer supports the Fiscal Officer in maintaining accurate and compliant municipal financial operations for the Village of East Canton. This position assists with accounting, payroll, bank reconciliation, financial reporting, records management, public records, grants, and administrative support while ensuring confidentiality, accuracy, and compliance with applicable laws and Village policies.
Essential Duties and ResponsibilitiesFinancial Administration and Accounting
- Support Village financial duties under applicable Ohio Revised Code requirements.
- Post revenues and disbursements in UAN or the Village’s accounting system.
- Prepare deposits, invoices, checks, reconciliations, reports, statements, and supporting documentation.
· Serve as bank liaison in the Fiscal Officer’s absence, as authorized.
Payroll, Benefits, and Required Reporting
- Process payroll, verify output, and prepare required payroll filings and reports.
- Support child/spousal support, retirement reporting, HR backup, and confidential personnel matters.
Records, Compliance, and Public Administration
- Maintain records, files, scanning, retention support, and awareness of statutory deadlines.
- Assist with public records requests, meeting minutes, resident payments, and tax form coordination.
Grants, Contracts, Public Financing, and Special Projects
- Assist with grants, bids, contracts, levy documents, public financing, tax exemptions, and MS4 reporting.
Administrative Support and Backup Duties
- Provide administrative support and backup assistance to the Fiscal Officer and authorized Village officials such as the Income Tax Director and Water Clerk.
- Attend relevant training and perform other related duties as assigned.
Required Knowledge, Skills, and Abilities
- Strong accuracy, organization, confidentiality, communication, and deadline management.
- Ability to learn and apply municipal accounting, payroll, fund accounting, and reporting requirements.
- Proficiency with spreadsheets, accounting/payroll systems, Windows programs, and office technology.
Education and Experience
- Associate’s or bachelor’s degree in accounting, finance, public administration, business administration, or related field preferred.
- Relevant experience in accounting, government finance, banking, fund accounting, payroll, UAN, or public finance preferred.
- Equivalent education, training, and experience may be considered.
Work Environment
Office-based position requiring computer, phone, office equipment, financial records, filing systems, public interaction, meeting attendance, and coordination with Village officials.
