kc|ID, LLC is a boutique full-service interior design firm in Austin, TX that specializes in high-end residential, multi-family/student housing, and commercial projects ranging from hospitality to private healthcare offices. We are currently looking for a Purchasing Assistant with at least 1-2 years of experience in the Interior Design/furniture procurement field specifically. Exact salary range will be based upon Candidate’s experience and skill level; kc|ID does provide paid time off, company holidays including employee birthday, continued education units, philanthropy opportunities, team building events, a SEP-IRA (following 1 year of employment), merit-based bonuses and monthly cell phone/mileage reimbursement. We do not provide healthcare at this time.

Responsibilities:
The Purchasing Assistant will work as an integral part of all procurement efforts at kc|ID, supporting the Procurement Lead in the day-to-day execution of furniture, fixtures, equipment, artwork, accessories, and custom procurement for multiple design projects. This role also will be a liaison between the Procurement Team and the internal Design Teams, Financial Controller, and kc|ID leadership.
This role is responsible for maintaining accurate procurement information, tracking orders from placement through installation, coordinating with vendors and warehouses, and ensuring procurement documentation remains organized and current. The ideal candidate enjoys staying ahead of details, proactively following up on outstanding items, and helping keep projects moving forward.
Procurement Coordination:
· Prepare purchase orders in the firm’s procurement software
· Obtain vendor trade quotes to include all costs associated with the order including freight, tariffs, tax exemption status, and lead times
· Track purchase orders from placement through final delivery and maintain accurate procurement records, order notes, and project documentation
· Run bi-weekly project procurement trackers and provide regular status updates to the Procurement Lead, paying special attention to shifting vendor lead times
· Maintain current vendor lead times and proactively communicate changes that may affect project schedules.
· Proactively identify and promptly escalate potential procurement, delivery, or installation issues to the Procurement Lead
Vendor & Warehouse Coordination
· Manage routine warehouse follow-up and communication, ensuring receiving, storage, delivery, and documentation needs are addressed and escalating issues or questions to the Procurement Lead as needed
· Assist with coordinating freight scheduling, white-glove deliveries, warehouse transfers, and installation deliveries
· Review receiving reports and notify the Procurement Lead of discrepancies, damages, shortages, or incorrect shipments
Installation Support
· Replenish installation supplies and kits as needed, including help packing and preparing for individual installation efforts
· Assist with coordinating vendors, warehouses, and installers leading up to project installations
· Assist on-site during local and out-of-town installations as needed (note: minimal travel to out-of-town- projects may be required intermittently; typically with 2-3 weeks notice)
· Support post-installation follow-up including repairs, replacements, warranty claims, and outstanding deliveries
Administrative Support
· Maintain organized procurement files and project documentation
· Support vendor account setup and trade applications
· Maintain accurate timesheets, mileage, and reimbursable expenses
· Assist with special pros and other procurement-related administrative responsibilities
The ideal candidate will have:
- 1–2 years of experience in purchasing, procurement, project coordination, administrative support, or a related field preferred.
- Experience in interior design, furniture, construction, architecture, or a design-related industry is a plus.
- Bachelor’s degree in related field.
- Proficiency required in Microsoft Office Suite (Excel, Word, Outlook, Powerpoint), Google Suite (Google Sheets, etc), Adobe PDF, and Slack.
- Familiarity with Function Fox timekeeping software and Ivy/Houzz Procurement software a plus.
- Familiarity with Mac equipment – kc|ID is a Mac based firm.
- Steady and reliable personal transportation. Project errands, meetings, installations, site visits and other efforts require consistent access to a vehicle.
- Flexibility for periodic travel for potential out-of-town project installations.

- Ready to collaborate in a mostly in-office environment. kc|ID requires in-office work during bulk of hours Monday-Thursday with flexible remote Fridays (pending any booked meetings or other in-person requirements). Team member will need to be fully available during all working hours, 8:30-5:30 M-Th and 8:30-2:30 Fridays (with coffee/lunch breaks expected).
