The Laredo Area Community Foundation is seeking a highly organized, dependable, and service-oriented Administrative & Programs Assistant to join our growing team.
This part-time position (approximately 20 hours per week) provides administrative support for the Foundation's daily operations while assisting with donor services, scholarship administration, community outreach, and special projects.
We are looking for someone who enjoys staying organized, learning new technology, and helping others. The ideal candidate is proactive, detail-oriented, and takes pride in producing accurate, high-quality work.
Responsibilities
- Answer phones, emails, and greet visitors in a professional and welcoming manner.
- Prepare correspondence, reports, meeting materials, and other administrative documents.
- Maintain organized digital and physical filing systems.
- Assist with scheduling meetings and coordinating calendars.
- Order and organize office supplies as needed.
- Maintain accurate records in the Foundation's CRM (akoyaGO).
- Assist with data entry, record updates, and constituent management.
- Help organize donor, scholarship, and fund information.
- Learn new software systems and help improve data quality and organization.
- Assist with scholarship application administration and recipient communications.
- Help prepare scholarship and grant materials.
- Support donor correspondence and stewardship activities.
- Assist with mailings and acknowledgments.
- Assist with planning and coordinating Foundation events.
- Prepare materials for meetings, donor visits, and community presentations.
- Help maintain inventory of promotional materials.
- Assist with digitizing historical files and improving document organization.
- Help maintain Foundation records and internal procedures.
- Provide general support wherever needed as the Foundation continues to grow.
Requirements
- Excellent organizational and time-management skills
- Strong attention to detail
- Professional written and verbal communication skills
- Fluency in both English and Spanish
- Proficiency in Microsoft Outlook, Word, and Excel
- Comfort learning new technology and database systems
- Ability to manage multiple priorities with minimal supervision
- A positive attitude and willingness to learn
- Ability to handle confidential information with discretion
Previous experience in an administrative, nonprofit, customer service, or office support role is preferred but not required.
Experience with CRM or database software is a plus but not required.
