Carter Psychology Center is seeking a highly professional and detail-oriented Remote Administrative Assistant to support our expanding psychological practice and administrative operations. In this role, you will perform key administrative and clerical tasks, handle patient intake coordination, manage digital office communications, and maintain organized clinical records. Operating in a fully remote capacity, you will ensure seamless daily administrative delivery for our clinical practitioners, staff, and clients.
Key Responsibilities

Administrative Coordination: Oversee daily administrative workflows by monitoring intake queues, updating electronic patient charts, and managing incoming digital correspondence through secure remote channels.
- Patient & Clinical Support: Assist with client registration, verify completed intake and consent forms, and coordinate scheduling updates between patients and clinical staff.
- Document & Record Management: Organize, index, and archive clinical files and administrative records in our central practice management system, ensuring complete data accuracy.
- Operational Reporting: Compile weekly administrative metrics, update clinical activity logs, and assist management with general office project tasks.
- Data Privacy & Compliance: Enforce strict adherence to HIPAA guidelines and institutional privacy standards while processing all client-related administrative data from a secure home office setting.
Qualifications & Requirements

Education: High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Experience: 2–4 years of experience in administrative support, medical office administration, or clerical operations.
- Technical Skills:
- High proficiency with Microsoft Office Suite (Word, Excel, Outlook) and cloud-based practice management platforms.
- Experience working with Electronic Health Record (EHR/EMR) systems or patient management software.
- Dedicated high-speed internet and a private home workspace suited for secure remote clinical administrative work.

Compensation & Work Structure

Compensation: $27.00 – $30.00 per hour (commensurate with experience).
- Schedule: Monday – Friday, daytime operational hours.
- Environment: 100% remote position featuring digital onboarding and ongoing operational check-ins.
