General Description: The administrative assistant staff should be energetic and organized individuals who will perform certain routine administrative tasks under the direction of a physician or other health practitioners while providing complete and timely patient centered care to the best of their abilities.
Duties: Work within a health practitioner, clinical support staff and administrative assistant team while performing the front end operations below.
ADMINISTRATIVE DUTIES
May include, but not limited to:
- Take detailed telephone messages and provide feedback and answers to patient/physician/pharmacy calls as needed.
- Triage and process messages from patients to health practitioner and medical assistant
- Verify patient insurances
- Perform basic billing, and coding for patient payment purpose.
- Collect patient payments at every visit
- Coordinating, authorizing and tracking referrals
- Coordinating, authorizing and tracking diagnostic imaging
- Schedule patients for appointments (in-house, specialty, laboratory, diagnostic imaging, etc.)
- Scanning New Patient charts
- Maintain health information releases
- Create new patient accounts
- Compile medical records and charts as needed for clinical taem, providers, appointments and releases
- Maintain clerical office supply inventory and appearance of the front office and waiting room
- Manage provider schedules
- Report to practice manager, assigned health practitioner and medical director
- All other duties as assigned by medical director or practice manger
Qualifications
- Proven administrative support , and office coordination
- Proficient in Microsoft Office, Google Workspace, spreadsheets, and basic bookkeeping; familiarity with preferred
- Excellent multi-line phone skills, calendar management, and front desk/customer service experience; strong proofreading and filing abilities
- Ability to manage time effectively, handle confidential information, and support medical or duties as needed
- Bilingual abilities and experience in office/medical administration and document preparation are a plus
Job Type: Full-time
Pay: $16.00 - $17.00 per hour

- High school or equivalent (Preferred)
Experience:
- Customer service: 1 year (Preferred)
