Position Overview:
Ideal BizCenter is seeking a reliable, organized, and detail-oriented Executive Assistant to support daily business operations and administrative functions. This role is ideal for someone who enjoys organization, communication, customer service, marketing, and helping businesses run efficiently.
The Executive Assistant will provide administrative support across multiple businesses operated by Ideal BizCenter, including email management, customer and tenant correspondence, record keeping, social media marketing, marketing available suites, and general office support. There will also be opportunities to assist with special projects and business development initiatives across the Ideal BizCenter family of businesses.
This position offers opportunities for increased hours, compensation growth, and expanded responsibilities based on individual performance and business growth.
Key ResponsibilitiesAdministrative Support:
- - Manage and organize business emails and correspondence
- - Assist with scheduling, calendar management, and follow-up communications
- - Maintain digital records, files, and business documentation
- - Prepare reports, spreadsheets, and basic business documents as needed
- - Perform general clerical and administrative duties
Customer & Tenant Relations:
- - Respond to customer and tenant inquiries in a professional and timely manner
- - Maintain tenant and customer records
- - Assist with account updates, payment reminders, and routine communications
- - Coordinate communication between customers, tenants, vendors, and management
- - Help ensure operational issues and requests are properly documented and addressed
Marketing & Business Support:
- - Assist with marketing available office and salon suites
- - Respond to inquiries from prospective tenants and clients
- - Create, schedule, and manage social media content across multiple platforms
- - Help maintain online listings, marketing materials, and promotional content
- - Support customer service and follow-up efforts
- - Assist with special projects and operational improvements as needed
Business Development Support:
- - Conduct basic research and provide administrative support for growth initiatives
- - Assist with marketing campaigns and promotional efforts
- - Support projects across multiple Ideal BizCenter businesses
- - Help identify opportunities to improve efficiency and customer experience

Qualifications
- - Strong organizational and time management skills
- - Professional written and verbal communication skills
- - Comfortable using email, Microsoft Office, Google Workspace, social media platforms, and basic business software
- - Ability to work independently and manage multiple tasks
- - Detail-oriented with strong follow-through
- - Customer service experience is a plus
- - Experience with social media marketing is preferred
- - Administrative, office support, or customer service experience preferred but not required
