Salary Range: $40,000 – $50,000 annually, commensurate with experience

Position Summary
The Lorain County Chamber of Commerce is seeking a detail-oriented and dependable Office Manager to support the day-to-day operations of the Chamber. This position is responsible for bookkeeping, billing, fiscal agent administration for grants and partner non-profit organizations, member database management, and partial executive assistant support to the President & CEO.
The successful candidate will play a central role in maintaining the financial integrity, member experience, and administrative efficiency of the Chamber.
Essential Duties & Responsibilities
Bookkeeping & Financial Administration
- Maintain accurate financial records using QuickBooks, including accounts payable, accounts receivable, journal entries, and bank reconciliations.
- Process invoices, member dues, event payments, sponsorships, and other receivables in a timely manner.
- Prepare deposits, monitor cash flow, and assist with monthly, quarterly, and year-end financial reporting.
- Support the President & CEO and external accountant in preparing materials for annual audits, tax filings (including Form 990), and board financial reports.
- Maintain organized financial files and documentation in accordance with non-profit best practices and record retention guidelines.
Fiscal Agent & Grant Administration
- Serve as the primary administrative contact for fiscal agent relationships with grants and partner non-profit organizations.
- Maintain separate accounting records for each fiscal agent partner, ensuring funds are tracked, restricted, and reported in compliance with grant agreements and applicable regulations.
- Process disbursements, reimbursements, and financial reports for fiscal agent partners on a timely and accurate basis.
- Coordinate with grantors, auditors, and partner organizations to provide required documentation and financial reports.
- Support compliance with all applicable federal, state, and local financial reporting requirements for non-profit and grant-funded activities.
Billing & Membership Support
- Manage member invoicing, dues renewals, and payment processing.
- Reconcile membership and event revenue between QuickBooks and the Chamber's member management platform.
- Respond professionally to member inquiries regarding billing, payments, and account status.
- Learn and become proficient in the ChamberMaster platform; maintain accurate member records, billing data, and engagement information within the system.
- Generate reports from ChamberMaster to support membership, financial, and operational decision-making.
Executive Assistant & Office Support
- Provide partial executive assistant support to the President & CEO, including calendar coordination, meeting preparation, correspondence, and travel arrangements as needed.
- Assist in the preparation of materials for the Board of Directors and committee meetings, including agendas, financial reports, and minutes.
- Maintain professional communication with members, board members, community partners, and the general public via phone, email, and in-person interaction.
- Manage office operations including supplies, vendor relationships, mail, and general office organization.
- Provide support for Chamber events, programs, and initiatives as needed.
- Perform other related duties as assigned by the President & CEO.
Qualifications
Required
- Associate's degree in accounting, business administration, or a related field; equivalent combination of education and relevant experience will be considered.
- Minimum of two (2) years of bookkeeping or office management experience.
- Demonstrated proficiency with QuickBooks (Online or Desktop).
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and confidential information with discretion.
- Excellent written and verbal communication skills.
- Willingness and ability to learn the ChamberMaster platform and become proficient within a defined onboarding period.
- Professional demeanor with a customer-service orientation suited to a member-driven non-profit environment.
Preferred
- Prior experience working in a Chamber of Commerce, non-profit, or member-based organization.
- Experience administering grants or serving in a fiscal agent capacity.
- Familiarity with ChamberMaster, GrowthZone, or comparable association management software.
- Knowledge of non-profit accounting standards and Form 990 reporting requirements.
Compensation & Benefits
The Lorain County Chamber of Commerce offers a competitive compensation and benefits package, including:
- Annual salary range of $40,000 – $50,000, commensurate with experience and qualifications.

Work Environment & Physical Requirements
Work is primarily performed in a professional office environment. The position requires the ability to sit for extended periods, operate standard office equipment, and occasionally lift up to 25 pounds in connection with Chamber events and office activities. Occasional evening or weekend hours may be required to support Chamber events and meetings.
