Purpose of Position: Ensures 100% guest satisfaction and revenue optimization through check in, check out and attentive coordination of hotel services for the guest while maintaining customer services emphasis and looking for opportunities to serve our guests. General Summary: The customer service-oriented clerks will, perform all check-in and check-out functions, disburse room keys and inform guests about hotel facilities/services. Help support and fulfill the mission, vision, core values and goals of the hotel. Accommodate guest requests, answer telephones, post charges and handle cash and credit card transactions. Critical Functions and Responsibilities: 1. Registers guests into the hotel in a prompt and courteous manner using up selling techniques to maximize room rates; prepares for group check in and out and VIP arrivals; becomes informed of events/ functions in the hotel during the shift. 2. Keep the General Manager or Front Office Manager apprised of the organizational climate, identify problems either actual or anticipated. 3. Stay up to date on room rates, packages, discounts, and how to handle each. 4. Maintain a safe environment for guests during their stay. Respond to guest requests promptly; promotes hotel services, facilities and outlets; provides guests with information such as local attractions and directions to increase satisfaction. 6. Develop a thorough knowledge of each room type and their locations. 7. Inform housekeeping of late check-outs, early check-ins, and special requests. 8. Develop detailed knowledge of the property management computer systems. 9. Check guests out of the hotel; process customer payments according to established policies and procedures. 10. Manage and resolve all guest complaints (and compliments) in a professional and courteous manner. 11. Use proper telephone etiquette and have a thorough knowledge of the phone system (PBX). 12. Understand and use proper mail, package, and message handling procedures. 13. Ensure that the front desk and back office is clean and well organized. 14. Report any unusual occurrences and/or requests to the General Manager. Log all such occurrences in the logbook. 15. Know all safety and emergency procedures and how to act upon them. Be aware of accident prevention policies. 16. Maintain a high level of professional appearance in dress and demeanor. 17. Follows policies and procedures of the hotel. 18. Perform all other duties as assigned by the Front Office Manager/General Manager to assure high standards of guest service and to enhance the success of the hotel. Scope of Responsibility: Team member must provide outstanding guest service while performing the daily activities at the Front Desk. Daily activities include, but not limited to, completion of check lists for check in & check out procedures, cash handling and accounting functions, taking reservations, answering phones, handling and resolving various guest inquires. Team member must be able to multi-task and have flexibility in their work schedule. Must have a positive and friendly disposition and be able to work with the needs of other team members and departments
