Certified Medical Assistant / Front Desk Manager – Orthopedic Spine Surgery

Position Overview
We are seeking an experienced, highly organized, and patient-focused Certified Medical Assistant (CMA) to serve as our Front Desk Manager for a busy Orthopedic Spine Surgery practice. This individual will be responsible for overseeing all front office operations while coordinating patient care from initial consultation through surgery and post-operative follow-up.
The ideal candidate is a proactive leader with excellent communication skills, exceptional attention to detail, and prior experience in orthopedic and/or spine surgery. This role requires someone who thrives in a fast-paced medical environment and is committed to providing outstanding patient care and customer service.
ResponsibilitiesFront Office Management
- Manage all front desk operations and daily workflow.
- Supervise patient check-in and check-out procedures.
- Schedule new and established patient appointments.
- Coordinate physician schedules and optimize appointment flow.
- Verify insurance eligibility and obtain prior authorizations when needed.
- Collect copays, deductibles, and patient balances.
- Maintain accurate patient demographics and medical records.
- Answer and route incoming phone calls professionally.
- Address patient concerns with professionalism and compassion.
- Train and support front office staff as needed.
- Ensure HIPAA compliance and maintain patient confidentiality.
Surgical Coordination
- Coordinate surgical scheduling with hospitals, surgery centers, and physician offices.
- Obtain all required surgical authorizations and referrals.
- Schedule pre-operative appointments, laboratory work, imaging, and medical clearances.
- Communicate surgery dates, instructions, and expectations with patients and families.
- Coordinate with anesthesia providers, surgical facilities, and medical equipment vendors.
- Prepare and organize surgical packets and documentation.
- Verify that all required medical records and imaging are available prior to surgery.
- Follow patients through the surgical process, including post-operative appointments and follow-up care.
- Maintain accurate surgery schedules and communicate any changes promptly.
Clinical Support
- Assist the physician with patient flow when needed.
- Perform Certified Medical Assistant duties within scope of practice.
- Maintain exam room readiness and assist with clinical documentation as necessary.
- Support the clinical team to ensure efficient patient care.
Qualifications
- Certified Medical Assistant (CMA) certification required.
- Minimum 3 years of medical office experience, preferably in Orthopedic Spine Surgery or Orthopedics.
- Previous experience coordinating surgical cases is required.
- Strong understanding of insurance verification, prior authorizations, and referrals.
- Experience with electronic medical records (EMR/EHR) systems.
- Excellent organizational and multitasking abilities.
- Strong leadership and problem-solving skills.
- Outstanding communication and customer service skills.
- Ability to work efficiently in a fast-paced environment.
- Knowledge of HIPAA regulations and medical office procedures.
Preferred Qualifications
- Experience working with orthopedic spine surgeons.
- Knowledge of spinal procedures and orthopedic terminology.
- Experience with surgical scheduling software and practice management systems.
- Bilingual (English/Spanish) is a plus.
