As we scale, we’re investing in technology and process improvements to increase efficiency, streamline case workflows, and enhance team collaboration, including a firmwide rollout of Filevine to enhance client support.
Key Responsibilities
- Lead Filevine implementation and data migration from legacy systems (mapping, import, validation, clean‑up).
- Build and configure projects, workflows, templates, custom fields, task logic, and user permissions.
- Design and execute rollout plans, pilot testing, and go‑live support.
- Develop and deliver training, documentation, and change‑management materials for attorneys and staff.
- Troubleshoot issues during and after launch; coordinate with Filevine support and vendors.
- Manage integrations (email, calendaring, document storage) and automated processes.
- Create reports and dashboards to monitor adoption, caseloads, and KPIs; recommend process improvements.
- Provide Tier‑1 helpdesk support for firm technology issues as needed, escalating complex or sensitive matters to IT/Operations lead or external vendors.
Qualifications
- 2+ years Filevine or similair administration experience, including leading at least one implementation/migration project.
- Demonstrated experience with data mapping, imports/exports, validation, and post‑migration reconciliation.
- Strong understanding of legal workflows (personal injury preferred).
- Proven trainer/communicator with change‑management skills.
- Technical aptitude for integrations and troubleshooting; familiarity with Needles or other CMS is a plus.
- Detail‑oriented, organized, and able to manage project timelines and stakeholder expectations.
