Poltz Rentals, LLC is seeking an organized people person to be our Backup Office Administrator to fill in and manage front desk operations at our real estate rental office. This is not a full-time position. Hours depend on current staff absences (planned and unplanned) and potential overflow and project work. Due to the level of training required, this is not a temporary role.
This is a great opportunity to learn and maintain skills in an office setting without the demands of a full-time position. A minimum amount of monthly hours can be agreed upon to suit your needs.
This team member is the first point of contact for current and prospective tenants and plays a key role in keeping the office running smoothly. The ideal candidate is bilingual, eager to learn, and enjoys using computers, problem-solving, and interacting with others.
Key Responsibilities
Front Desk & Customer Service
- Assist office visitors with inquiries and payment processing
- Answer and manage incoming phone calls
- Collect repair information and schedule maintenance appointments
- Provide basic information about rental properties, application processes, and office policies
Office & Administrative Support
- Maintain the front desk area and ensure a clean and organized environment
- Process incoming and outgoing mail
- Prepare correspondence, forms, and reports using word processing and office software
- Communicate maintenance requests to the appropriate staff
- Use judgment to prioritize work
Technology & Process Support
- Use office software and property management systems to track information
- Assist with organizing digital files and maintaining accurate electronic records
Qualifications & Skills
- Bilingual (strongly preferred)
- High school diploma or equivalent
- Previous administrative, front desk, or customer service experience preferred
- Strong verbal and written communication skills in both Spanish and English
- Comfortable using technology, office software and equipment, and Microsoft programs
- Excellent organizational skills and attention to detail
- Ability to multitask and problem-solve

Work Environment

Position: On-call/part-time
Hourly wage: $20.00 - $23.00 depending on experience
Pay: $20.00 - $23.00 per hour
