The Operations Coordinator is responsible for supporting the daily operations of the home health agency by ensuring efficient coordination of client care and administrative functions. This position works closely with other team members in the organization to maintain compliance, improve workflow, and ensure high-quality patient care. The Operations Coordinator serves as a central point of communication to help ensure agency operations run smoothly and efficiently.
Essential Duties and Responsibilities
- Coordinate daily office operations and provide administrative support to agency leadership.
- Monitor workflow across intake, recruiting, scheduling, client services, billing, and payroll to ensure timely completion of tasks.
- Assist with client admissions, referrals, and coordination of care services.
- Support scheduling and staffing to maximize productivity and caregiver coverage.
- Track employee credentials, licensure, certifications, and mandatory training to maintain compliance.
- Maintain accurate patient and employee records within the electronic record system.
- Prepare operational reports, productivity metrics, and performance dashboards for leadership.
- Assist with quality assurance initiatives, audits, and regulatory compliance activities.
- Coordinate communication between office staff, field staff, referral sources, clients, and caregivers.
- Identify operational inefficiencies and recommend process improvements.
- Support onboarding and orientation of new employees.
- Assist with supply inventory, equipment management, and vendor coordination.
- Ensure compliance with billing, HIPAA, state licensing regulations, and agency policies.
- Participate in staff meetings, quality improvement initiatives, and emergency preparedness planning.
- Some on-call responsibilities (in-rotation)
- Perform other duties as assigned.
Qualifications
- Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or related field preferred.
- At least 1 year of Supervisory role in the medical field
- Minimum of 2 years of healthcare operations, home health, or medical office experience.
- Knowledge of Medicare Conditions of Participation and home health regulations preferred.
- Experience with EMR systems and Microsoft Office Suite.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
