We are seeking a dynamic and highly organized Legal Assistant/Secretary to join our professional team. Duties
- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette.
- Provide comprehensive office management support, including filing, data entry, and maintaining organized records of legal documents.
- Assist with calendar management and scheduling appointments for attorneys and clients, ensuring timely follow-ups.
- Prepare, proofread, and format legal documents, correspondence, and reports with accuracy and attention to detail.
- Utilize productivity software such as Microsoft Office and Google Workspace to create presentations, spreadsheets, and correspondence.
- Support bookkeeping and financial recordkeeping.
- Handle front desk responsibilities including greeting visitors, managing client support, and coordinating client appointments.
- Maintain confidentiality of sensitive information while providing exceptional customer service to clients and visitors.
- Support office operations through clerical tasks such as filing, photocopying, scanning, and organizing digital files.
- Assist with personal assistant duties like calendar management and scheduling meetings for legal staff as needed.
Qualifications
- Proven office experience with strong organizational skills and the ability to multitask effectively in a busy environment.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
- Prior clerical or administrative experience in a legal setting is highly desirable.
- Strong typing skills with high accuracy; familiarity with proofreading legal documents is a plus.
- Experience using practice management software such as LEAP or Clio is advantageous.
- Bilingual abilities to serve diverse client needs effectively are not required but would be a plus.
- Exceptional phone etiquette combined with customer service skills to provide outstanding support at the front desk or via phone communication.
- Ability to manage time efficiently using effective organizational strategies; familiarity with office management practices is beneficial.
- Technical proficiency in office equipment such as multi-line phones, scanners, copiers, and fax machines.
