Job Summary
Love & Guidance Counseling Center is a growing outpatient mental health practice dedicated to providing compassionate, high-quality care to children, adolescents, adults, couples, and families. We are seeking a proactive, organized, and dependable Clinical Administrative Coordinator who is passionate about creating an exceptional client experience while supporting the daily operations of our practice.
This is more than a traditional front desk position. We are looking for someone who takes initiative, enjoys staying productive, and is committed to helping our practice operate efficiently. When client calls and check-ins are complete, the Clinical Administrative Coordinator actively supports office operations, assists clinicians and leadership with administrative tasks, and helps maintain a clean, organized, and welcoming environment.
Responsibilities
- Greet clients, visitors, and vendors with warmth, professionalism, and compassion.
- Answer incoming phone calls, return voicemails, and respond to emails promptly and professionally.
- Schedule, reschedule, and confirm appointments.
- Assist clients with completing intake forms and required documentation.
- Scan, upload, organize, and maintain confidential client records in accordance with HIPAA guidelines.
- Coordinate with the billing department regarding insurance eligibility, benefits, and client financial responsibilities, and communicate updates to clients as appropriate.
- Serve as a liaison between clients, clinicians, leadership, and the billing department to ensure timely communication and follow-up.
- Prepare administrative documents, correspondence, reports, and spreadsheets as needed.
- Maintain inventory of office, keep office clean, organized, and welcoming throughout the day.
- Assist with other administrative projects.
- Monitor daily office operations and proactively identify tasks that need attention without waiting for direction.
- Provide administrative support to clinicians and leadership while maintaining professionalism and confidentiality.
- Perform additional administrative and operational duties as assigned to support the needs of the practice.
Qualifications
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Previous administrative experience in a healthcare, counseling, medical, or professional office preferred.
- Excellent organizational, multitasking, and time management skills.
- Strong written and verbal communication skills.
- Outstanding customer service and interpersonal skills.
- Ability to work independently, prioritize responsibilities, and take initiative.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer applications.
- Ability to learn electronic health record (EHR) systems and office software.
- Strong attention to detail and commitment to maintaining confidentiality.
- Bilingual (English/Spanish) preferred.
