Project Support Specialist - Job Ad
We are seeking a highly organized, detail-oriented professional who thrives in fast-paced, dynamic environments and excels at managing multiple priorities simultaneously to join our rapidly growing financial services team as a Project Support Specialist. This is a full-time position.
This role is ideal for someone who naturally takes ownership, enjoys bringing order to complexity, and can be relied upon to keep projects, processes, and priorities moving forward. The successful candidate will serve as a key operational partner, ensuring tasks are properly managed from inception to completion while helping maintain organization, accountability, and efficiency across the team
Job Duties:
Work closely with the internal team on the following responsibilities, including but not limited to:
- Serve as the central point of coordination for incoming tasks, ensuring they are properly tracked, prioritized, assigned, and completed
· Coordinate projects and initiatives from initiation through completion
- Create and rebrand client-facing materials to align with company standards and messaging
- Develop and update internal materials and resources
- Collaborate with the Compliance team to ensure all materials meet applicable regulatory requirements
- Organize, maintain, and improve systems for managing practice materials and resources
· Manage client ticketing, gifting, and appreciation programs from planning through execution, including coordination, logistics, tracking, and follow-up
- Assist with social media engagement and content support
- Coordinate email marketing campaigns and monitor engagement metrics
- Assist with website updates, maintenance, and content management
- Identify opportunities to improve processes, increase efficiency, and enhance overall team effectiveness
The Ideal Candidate Will Possess
- Exceptional organizational skills and strong attention to detail
- Excellent Microsoft Office skills, particularly Excel, Word, and Outlook
- Experience with graphic design and visual content creation
- Outstanding written and verbal communication skills
- The ability to manage multiple projects simultaneously while maintaining accuracy and meeting deadlines
- A proactive, self-starter mindset with a strong sense of ownership and accountability
- The ability to assess processes objectively and recommend improvements to increase efficiency and effectiveness
- Flexibility and adaptability in a rapidly changing environment
- The ability to effectively shift priorities without losing momentum on key initiatives
- Strong proofreading, editing, and quality-control skills
- Professional office etiquette and a collaborative team-oriented approach

Pay: $51,000.00 - $54,000.00 per year
