Position Summary
The Medical Supply Coordinator is responsible for overseeing the procurement, coordination, tracking, and compliance of medical supplies for home health patients. This role serves as the primary liaison between clinicians, patients, office staff, insurance providers, and third-party medical supply vendors to ensure timely delivery of medically necessary supplies while maintaining regulatory and reimbursement compliance.
The ideal candidate possesses experience in wound care supply management, strong organizational and communication skills, proficiency with EMR systems and vendor portals, and a working knowledge of Medicare, Medicaid, managed care, and private insurance guidelines related to home health wound care supplies and surgical dressings.
Essential Duties & Responsibilities
Supply Coordination & Order Management
Process, submit, and monitor wound care supply orders through multiple third-party vendor and supplier portals.
Coordinate delivery schedules and ensure timely shipment of supplies to patient homes.
Verify order accuracy, quantities, and product appropriateness based on clinician documentation and physician orders.
Troubleshoot delayed shipments, backorders, incorrect deliveries, and supply discrepancies.
Insurance Verification & Authorization Management
Review supply requests for coverage eligibility under Medicare, Medicaid, managed care, and private insurance plans.
Determine which supplies are covered under Home Health Consolidated Billing regulations versus those requiring separate authorization or billing.
Assist with prior authorizations, insurance verification, and non-covered supply determinations.
Ensure compliance with reimbursement guidelines for surgical dressings and wound care products.
Clinical Documentation & Compliance
Review wound care documentation to confirm all required clinical information is complete prior to order submission.
Verify supporting documentation including:
Maintain compliance with agency policies, payer requirements, and regulatory standards.
Communication & Care Coordination
Serve as the primary communication link between field clinicians, office staff, patients, caregivers, and medical supply vendors.
Collaborate with nurses and clinicians to clarify wound care orders and product selections.
Provide updates regarding order status, delivery timelines, insurance approvals, and supply issues.
Educate patients and caregivers regarding supply delivery processes when necessary.
Inventory Monitoring & Cost Control
Monitor utilization trends and ordering patterns to support operational efficiency and cost management.
Ensure ordered supplies align with clinical necessity and authorized quantities.
Assist in reducing supply waste and preventing overutilization.
