Administrative Assistant / Executive Administrative Coordinator
Luxury Real Estate Group – Full Time
Encore Sotheby’s International Realty | Thrasher Estates is seeking a highly organized, technically skilled, and detail-oriented Administrative Assistant / Executive Administrative Coordinator to support the daily operations of a fast-paced luxury real estate group. This position is based at Electric Works in Fort Wayne, Indiana. This is an important support role focused on organization, communication, technology, client experience, and operational efficiency. The ideal candidate is highly professional, proactive, efficient, and comfortable handling multiple responsibilities in a dynamic environment.
Compensation:
- Base Salary: $36,000 annually
- Performance Bonuses: Additional $30,000–$60,000 potential
- Full-Time Position
Schedule:
- Monday through Friday 8:00 AM – 4:00 PM
- 40 hours per week
Key Responsibilities:
- Assist with day-to-day administrative operations for a luxury real estate team
- Coordinate calendars, appointments, scheduling, and client communications
- Assist with transaction coordination and administrative follow-through
- Maintain CRM systems, databases, digital files, and operational workflows
- Assist with marketing coordination, listing administration, and social media organization
- Handle confidential information with professionalism and discretion
- Help ensure a high-level client experience and smooth office operations
- Communicate effectively with clients, vendors, agents, and leadership
- Assist with improving systems, efficiency, and office organization

- Detail-oriented and dependable
- Experience with real estate systems, CRM platforms, Microsoft Office, Google Workspace, Canva, social media platforms, or transaction software is a plus
