Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is essential in ensuring smooth administrative workflows, exceptional customer service, timely processed invoicing, AP, AR, bank reconciliations, and efficient office management. The ideal candidate will demonstrate strong leadership, excellent communication skills, and a proactive approach to problem-solving. As the backbone of our office, you will coordinate administrative tasks, oversee front desk operations, and support team members to foster a productive and welcoming workplace.
Responsibilities
- Oversee office supplies inventory, procurement, and filing systems to ensure operational efficiency. Ordering products, managing office personnel, conducting audits of company funds and all around office management.
- Coordinate calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace and Microsoft Office.
- Perform data entry, bookkeeping with QuickBooks, and maintain accurate records of financial transactions. QuickBooks knowledge is manditory prerequsite.
- Supervise clerical tasks such as proofreading documents, managing correspondence, and organizing files both physically and digitally.
- Support administrative functions including calendar management, appointment setting, and personal assistant duties as needed.
- Ensure proper phone etiquette and professional communication with clients, vendors, and internal teams at all times.
Experience
- Proven experience in office management or administrative roles with a strong background in clerical support.
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel) and Google Workspace applications.
- Familiarity with QuickBooks for bookkeeping and basic financial recordkeeping.
- Bilingual abilities are preferred to effectively serve diverse client needs. Not mandatory.
- Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail.
- Excellent phone etiquette, time management skills, and the ability to proofread documents accurately.

Pay: $26.58 - $45.50 per hour
