Functional Healthcare of Omaha — voted Best of Omaha and ranked a Top 5 Functional Medicine Practice in the U.S. — is looking for a warm, polished Patient Care Coordinator to be the first and last impression for every patient who walks through our doors.
This is a concierge, cash-pay practice. Our patients invest directly in their health, hormones, aesthetics, and longevity, and they expect an experience that matches. If you're coming from another medspa, aesthetic or concierge practice, a dental treatment-coordinator role, or high-end hospitality, you'll feel right at home.
What you'll do
- Greet every patient warmly and run smooth, accurate check-in and check-out
- Own the phones, texts, emails, and web/social inquiries — and follow up fast
- Schedule consults, treatments, and follow-ups, and keep provider calendars full and efficient
- Help patients understand services, memberships, and treatment plans, and enroll them when it's the right fit
- Process payments, reconcile the day, and keep records HIPAA-compliant
- Support retention through proactive, caring follow-up
What makes you a great fit
- Experience in a medspa, aesthetic, wellness, concierge, dental, or hospitality front-of-house role (1+ year of patient/guest care)
- Genuinely warm, organized, and unflappable under a busy schedule
- Comfortable discussing pricing, memberships, and financing as part of great care
- Quick to learn scheduling, EHR, and CRM systems
The details
- $17–$20/hour, part-time or full-time (~37 hrs/week)
- Monday–Friday 8:30 AM–3:30 PM, plus two Saturdays/month 8:30 AM–1:00 PM

Pay: $17.00 - $20.00 per hour
