Job Overview
You will support the day-to-day administrative and financial operations of Contenur USA, ensuring accurate processing of financial, contractual, and administrative activities while contributing to compliance with accounting, tax, labor, and corporate requirements. You will work closely with local and corporate teams to support business operations and projects across the United States.
Duties
- Manage the company's day-to-day financial operations, including invoicing, collections, payments, treasury activities, and support with financial closings.
- Prepare financial reports, budget analyses, cash flow forecasts, and key performance indicators (KPIs).
- Oversee contract administration and maintain corporate records, insurance policies, licenses, and legal documentation.
- Ensure compliance with tax, labor, and corporate requirements while coordinating internal and external audits.
- Support HR administration, including onboarding processes, payroll coordination, employee records management, and training activities.
- Provide administrative support for business operations, projects, procurement processes, suppliers, and subcontractors.
- Maintain accurate and up-to-date information in the ERP system and other corporate platforms.
- Prepare regular reports and business insights for local and corporate leadership.
- Manage front desk operations, greeting visitors and clients with professionalism and warmth
- Operate multi-line phone systems, directing calls accurately and courteously
- Handle data entry tasks with precision using Microsoft Office applications and QuickBooks for bookkeeping purposes
- Maintain organized filing systems, both physical and digital, ensuring confidentiality of sensitive information
- Assist with office management duties such as supply ordering, calendar coordination, and scheduling meetings
- Provide excellent customer support through phone communication and in-person interactions
- Support personal assistant responsibilities including appointment scheduling and travel arrangements when needed
Experience
- Bachelor’s degree in Business Administration, Finance, Accounting, or a related field.
- MBA or additional training in financial management is a plus.
- Minimum of 5 years of experience in administration, finance, or administrative operations roles.
- Previous experience in subsidiaries of international groups, industrial environments, or public service companies is highly desirable.
- Experience working with public or municipal contracts is a plus.
- Strong knowledge of financial and management accounting, budgeting, and treasury control.
- Knowledge of U.S. labor and tax regulations.
- Advanced proficiency in Microsoft Excel and Microsoft 365.
- Experience with enterprise ERP systems (JD Edwards, Oracle, SAP, Dynamics, or similar).
- Professional English is essential; Spanish language skills are considered an asset.
