About the Role
At Toolmex, excellent operations are how we deliver outstanding customer service. We are looking for an Operations Support Coordinator who understands that every purchase order, shipment update, and inventory check directly impacts our customers’ experience.
In this role you will be the operational backbone that keeps customers informed, orders accurate, and problems resolved quickly. You will serve as a key liaison between suppliers, the warehouse, and internal teams — always with the customer’s needs at the center of your work. If you take pride in clear communication, proactive follow-up, and making sure nothing falls through the cracks for our customers, this is the role for you.
What You’ll Do
- Deliver excellent customer service through operations — respond promptly and professionally to customer, supplier, and internal inquiries
- Keep customers and internal teams informed by monitoring order status and proactively following up with suppliers on delivery schedules, confirmations, and open items
- Resolve order discrepancies, shortages, backorders, and shipping issues quickly to minimize disruption for customers
- Process and update purchase orders accurately so customers receive the right products on time
- Coordinate inbound and outbound shipments and assist with freight scheduling to support reliable delivery performance
- Support daily warehouse and logistics activities that enable smooth order fulfillment
- Maintain accurate records of purchase orders, shipping information, and supplier communications
- Assist with inventory management, cycle counts, and reconciliation to ensure product availability for customers
- Prepare clear reports and spreadsheets on purchasing, inventory, logistics, and warehouse activity
- Collaborate with sales, purchasing, warehouse, and accounting teams to deliver a seamless customer experience
- Identify opportunities to improve processes and communication that enhance service to our customers
- Perform other related duties as assigned
What We’re Looking For
Required Qualifications
- High school diploma or equivalent
- 2+ years of experience in operations, logistics, purchasing support, warehouse support, or a related field
- Strong customer service orientation — ability to support customers effectively through operational processes and clear communication
- Strong computer skills, including Microsoft Outlook, Excel, and Word
- Proven ability to accurately update and maintain purchase orders
- Excellent organizational, time-management, and prioritization skills
- Strong verbal and written communication skills
- High attention to detail and accuracy
- Ability to work effectively with suppliers, coworkers, and cross-functional teams
- Comfortable working in both office and warehouse environments
Preferred Qualifications
- Experience with an ERP or business management system
- Background in manufacturing, industrial, warehouse, or distribution environments
- Knowledge of purchasing, inventory management, shipping, receiving, and logistics processes
- Prior experience in a customer-facing operations or order support role
- Forklift certification (or willingness to obtain training)
Physical Requirements
- Ability to stand, walk, bend, reach, and move throughout the warehouse as needed
- Ability to safely lift, carry, push, and pull up to 50 pounds
- Ability to load, unload, and move materials
- Ability to operate basic material handling equipment (e.g., pallet jacks); forklift experience a plus
