Job Description
We are looking for a highly organized, detail-oriented, and bilingual Office Administrator / Accounting Coordinator to join our growing landscaping and construction company in Dallas, TX.
This position will support daily office operations while assisting with Accounts Receivable (AR), Accounts Payable (AP), invoicing, vendor management, customer accounts, and general accounting administration.
Key Responsibilities:
- Manage daily office operations, including phones, emails, customer service, scheduling, documentation, and communication with customers, vendors, subcontractors, and field employees in both English and Spanish.
- Maintain accurate and organized customer, vendor, employee, project, and financial records, including electronic and physical files.
- Prepare, issue, and distribute customer invoices; process and record payments; monitor outstanding balances; follow up on past-due accounts; assist with collections; and resolve billing discrepancies.
- Receive, review, code, and process vendor and subcontractor invoices; verify accuracy and approvals; match invoices with purchase orders, receipts, work orders, or project documentation; and assist with weekly payment processing.
- Maintain accurate AR/AP records and assist with account reconciliations, financial reporting, and resolution of customer and vendor discrepancies.
- Maintain organized files and documentation for construction and landscaping projects.
- Assist with tracking project expenses, materials, vendors, subcontractors, and project-related costs.
- Review timesheets and supporting documentation as needed and assist with purchase orders, work orders, subcontractor documentation, and project billing.
- Coordinate with project managers, field supervisors, vendors, subcontractors, customers, and office personnel to obtain required information and documentation.
- Ensure office, accounting, and project records are complete, accurate, and up to date.
- Prepare reports, spreadsheets, correspondence, and other administrative documents while supporting management with daily operational needs.
Preferred Skills
- Experience with QuickBooks Online/Desktop, Sage, or similar accounting software.
- Experience working with subcontractors and construction vendors.
- Experience with construction or landscaping companies.
- Bilingual customer service experience.
- Strong Excel skills, including spreadsheets, formulas, and data organization.
Education:
- High School Diploma or GED required.
- Associate's or Bachelor's degree in Accounting, Business Administration, Finance, or a related field preferred.
- Equivalent professional experience may be considered in place of formal education.

Pay: $80,000.00 - $85,000.00 per year
