Position Summary
We are seeking a highly organized, proactive, and bilingual (English/Mandarin) Executive Assistant to provide direct administrative and operational support to the CEO. This role requires strong organizational and communication skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Purpose of This Role
The Executive Assistant plays a key role in supporting the CEO’s day-to-day priorities by managing schedules, coordinating communications, preparing materials, arranging travel, and assisting with business and administrative matters.
This role will also help facilitate communication across teams and ensure important tasks, meetings, and follow-ups are handled efficiently.
Key Responsibilities
- Manage and prioritize the CEO’s calendar, meetings, calls, and appointments.
- Serve as a liaison between the CEO, internal teams, clients, and external partners.
- Draft, translate, and proofread business correspondence in both English and Mandarin.
- Coordinate domestic and international travel arrangements and prepare detailed itineraries.
- Prepare presentations, reports, meeting materials, and other business documents.
- Track meeting action items, deadlines, and follow-ups on behalf of the CEO.
- Assist with research, data collection, and business-related projects as needed.
- Coordinate cross-functional communication and support ongoing company initiatives.
- Handle confidential information and sensitive matters with discretion and professionalism.
- Provide additional administrative and operational support to the CEO as needed.
Required Skills & Qualifications
- Bachelor’s degree in any discipline.
- Professional fluency in both English and Mandarin, written and spoken.
- Strong organizational skills with excellent attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and adapt to changing needs.
- Strong judgment, professionalism, and discretion when handling confidential information.
- Proficiency in Microsoft Office Suite and Google Workspace, including Excel, PowerPoint, Google Calendar, Docs, and Sheets.
- Comfortable using AI and other productivity tools.
- Previous experience in executive support, administrative coordination, business operations, finance, or a related professional environment is preferred.
Preferred Skills
- Executive Assistant or Personal Assistant certification or diploma.
- Previous experience supporting a CEO, founder, or senior executive.
