This is not a typical receptionist position.
You'll become the operational hub that keeps our sales team, warehouse, vendors, customers, and deliveries running smoothly.
Position Summary
The Sales & Administrative Coordinator serves as the central point of communication between customers, vendors, warehouse operations, and the sales team.
This person will be responsible for ensuring orders are processed accurately, inventory remains organized, customers receive exceptional service, deliveries are coordinated efficiently, and the showroom operates professionally every day.
We're looking for someone who solves problems before they become problems.
Primary ResponsibilitiesSales Support
- Answer incoming calls professionally
- Greet showroom customers
- Assist customers with product information
- Schedule appointments
- Prepare estimates and quotations
- Follow up on customer inquiries
- Assist with closing sales when appropriate
- Maintain CRM records
- Process customer deposits and payments
- Prepare financing paperwork when necessary
Administrative Duties
- Purchase Order creation
- Vendor ordering
- Customer invoicing
- Filing and document management
- Email correspondence
- Data entry
- Scheduling
- Office supply management
- Process warranties and manufacturer claims
- Coordinate repairs and replacement parts
- Maintain accurate customer files
Order Management
- Verify order accuracy
- Enter custom furniture orders
- Confirm fabrics and finishes
- Submit orders to manufacturers
- Track production status
- Communicate lead times
- Notify customers of delays
- Schedule deliveries
- Coordinate white glove installations
- Resolve shipping issues
Inventory Management
Maintain inventory accuracy across:
- Patio furniture
- Cushions
- Replacement cushions
- Warranty parts
- Hardware
- Umbrellas
- Outdoor kitchens
- Grills
- Fire features
- Decorative accessories
Responsibilities include:
- Receiving inventory
- Labeling inventory
- Stock counts
- Managing sold inventory being held
- Tracking customer layaways
- Recording damaged merchandise
- Managing warehouse transfers
Warranty & Parts Management
One of the most important responsibilities of this role.
You will oversee:
- Warranty claims
- Replacement parts ordering
- Receiving warranty items
- Disassembling damaged furniture
- Salvaging reusable parts
- Returning usable components to inventory
- Tracking every part by SKU
- Maintaining accurate warranty records
Delivery Coordination
- Schedule deliveries
- Route trucks efficiently
- Confirm customer availability
- Coordinate installation crews
- Verify delivery paperwork
- Handle reschedules
- Resolve delivery issues
Customer Service
Deliver a luxury customer experience.
Responsibilities include:
- Returning phone calls promptly
- Updating customers on orders
- Handling complaints professionally
- Following up after delivery
- Requesting Google Reviews
- Maintaining long-term customer relationships
Showroom Operations
Help maintain a showroom customers love visiting.
Responsibilities include:
- Keep showroom organized
- Ensure displays remain clean
- Price tag accuracy
- Merchandise staging
- Coordinate seasonal floor changes
- Assist with product merchandising
Marketing Support
Assist with:
- Facebook posts
- Instagram posts
- Email campaigns
- Event preparation
- Sales promotions
- Customer database management
- Lead generation follow-up
Preferred Qualifications
- 3+ years in administrative support
- Sales support experience
- Purchasing experience
- Inventory management experience
- Customer service background

Software Experience Preferred
Experience with systems such as:

Physical Requirements
- Ability to occasionally lift up to 40 pounds
- Comfortable walking between showroom and warehouse

Compensation & BenefitsStarting Compensation
- $25–$30/hour (Based on Experience)
