Precious Ones Learning Center (POLC), a faith-based preschool and childcare ministry of Beavercreek Christian Church, is seeking a highly organized, professional, and compassionate Administrative Assistant to the Director. This position plays a vital role in supporting the Director, serving families, and helping ensure the smooth daily operation of our center. POLC has been serving Beavercreek families since 1999 and provides preschool, childcare, before and after school care, and summer programs for children ages 18 months through 12 years old.

Position Summary
The Administrative Assistant works closely with the Director to provide operational, administrative, and customer service support. This role serves as a welcoming point of contact for families, staff, and visitors while helping maintain records, communication, scheduling, enrollment processes, and compliance requirements.
Key Responsibilities
Administrative Support
- Assist the Director with daily operations and administrative tasks.
- Manage phone calls, emails, and correspondence in a timely and professional manner.
- Maintain student, family, and staff records with accuracy and confidentiality.
- Prepare reports, forms, newsletters, and other documents.
- Support enrollment, registration, and waitlist management.
- Organize and maintain filing systems, both electronic and paper.
Family & Customer Service
- Greet and assist current and prospective families.
- Respond to inquiries regarding programs, tuition, and enrollment.
- Support family communication through email, newsletters, and childcare management software.
- Assist with tours and orientation for new families.
Financial & Office Operations
- Assist with tuition tracking, invoicing, and payment records.
- Process receipts and maintain accurate financial documentation.
- Order and maintain office supplies and materials.
- Coordinate facility and office needs with church and center staff.
- Assist with staff scheduling and substitute coverage coordination.
- Support onboarding and personnel documentation for new employees.
- Help track training records, certifications, and licensing requirements.
- Coordinate meetings, events, and special programs.
Compliance & Recordkeeping
- Maintain records required by Ohio childcare licensing regulations.
- Assist with licensing inspections, audits, and documentation.
- Ensure confidentiality and proper handling of sensitive information.
- Support policies and procedures that promote a safe and organized learning environment.
Qualifications
Required
- High school diploma or equivalent.
- Minimum of 2 years of administrative, office management, customer service, or related experience.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, and general office technology.
- Ability to maintain confidentiality and professionalism.
Preferred
- Experience in a childcare, preschool, school, church, or nonprofit setting.
- Familiarity with childcare management software (Brightwheel or similar).
- Knowledge of Ohio childcare licensing requirements.
