About CloudMellow:
Founded in 2015 and headquartered in Dallas, Texas, CloudMellow is a fast-growing digital marketing agency that has expanded through several strategic acquisitions. While our acquired brands continue to maintain their own online presence, we operate together as one unified team under the CloudMellow name.
Our mission is to empower businesses to thrive in the digital world through innovative, data-driven marketing strategies. We pride ourselves on delivering measurable results, personalized service, and transparent partnerships that help our clients achieve lasting growth.
We're seeking a motivated and talented Sales & Business Development Coordinator to help grow our client base by supporting the sales process from initial inquiry through proposal development and client onboarding. This role plays a key part in preparing customized proposals, coordinating sales activities, and ensuring an exceptional experience for prospective clients. The ideal candidate is highly organized, detail-oriented, and passionate about building relationships while contributing to revenue growth.
Requirements
- 2–4 years of experience in sales coordination, proposal development, business development support, account management, or a similar client-facing role (digital marketing or agency experience preferred).
- Experience preparing professional proposals, Statements of Work (SOWs), presentations, RFP responses, or client-facing business documents.
- Strong understanding of digital marketing services, including branding, custom website design and development, SEO, PPC, social media marketing, content marketing, website hosting, and maintenance services.
- Excellent written communication skills with exceptional attention to detail, grammar, formatting, and overall presentation.
- Ability to translate technical and marketing concepts into clear, persuasive, client-friendly language.
- Strong organizational and project management skills with the ability to manage multiple proposals, deadlines, and priorities simultaneously.
- Experience coordinating with cross-functional teams, including strategy, creative, development, marketing, and leadership.
- Proven ability to gather requirements, synthesize information, and develop customized client solutions.
- Comfortable building project scopes, pricing summaries, implementation timelines, and recommendations based on client needs.
- Strong interpersonal and communication skills with the ability to build relationships internally and externally.
- Ability to work independently while also thriving in a collaborative, fast-paced environment.
- Excellent problem-solving skills with a proactive, solution-oriented mindset.
- High level of professionalism, discretion, and accountability when handling confidential client and company information.
- Strong time management skills with the ability to prioritize competing deadlines while maintaining a high level of accuracy.
- Proficiency with Microsoft Office (Word, PowerPoint, Excel), Google Workspace, and CRM platforms such as HubSpot.
- Experience with Canva, proposal software, or presentation design tools is a plus.
- Experience with PandaDoc, Qwilr, Proposify, or similar proposal management software is preferred but not required.
- Experience using AI tools such as ChatGPT, Microsoft Copilot, or similar platforms to improve productivity is preferred. Candidates must demonstrate the ability to create high-quality, accurate, and original proposals using independent critical thinking, sound business judgment, and strong writing skills - not simply AI-generated content.
- Experience working within a B2B sales environment is preferred.
- Commitment to working from our Alpharetta, GA office is required.
- Willingness to travel occasionally and successfully complete a background check.
- Strong growth mindset with a desire to continually learn, improve, and build a long-term career with CloudMellow.
Responsibilities
- Outbound calling and e-mails into targeted companies and industries
- Maintain regular touch points with existing clients to check satisfaction and recommend additional value-driven solutions.
- Proactively call and follow up with current clients to identify upsell opportunities across services such as SEO, PPC, social media, and website enhancements.
- Qualify inbound leads based on needs, service interest, timeline, and budget.
- Schedule discovery calls for the sales team and ensure all client information is captured accurately.
- Maintain communication with leads before and after scheduled calls to increase close rates.
- Update all inbound and upsell activities within Hubspot CRM, ensuring accurate and current data.
- Track movement of leads through the pipeline, ensuring timely follow-ups and next steps.
- Deliver compelling presentations to clients that clearly communicate value, ROI, and strategic recommendations.
- Review and interpret Request for Proposal (RFP) requirements from prospective clients.
- Coordinate with internal teams (strategy, creative, development, marketing) to gather information for RFP responses.
