We are seeking a high-caliber, system-savvy Project Coordinator / Manager who thrives in fast-paced environments and excels at transforming operational chaos into structured, traceable workflows, with an attention to detail on everything. In a highly regulated compliance environment, tracking errors can compromise market entry, impact supply chains, or elevate quality risk for our clients. This role gives you total ownership of our enterprise Project Management System and workflows, protocols and other controlled documents. You will design internal workflows, maintain absolute data integrity, enforce strict document controls, and interface directly with accounting to maximize team billability. This position is a high-growth track designed to develop into a core operational leader who knows how to scale systems and processes in a dynamic team environment.
This position is a fully remote role work-from-home that is to be commenced during REJIMUS’s normal hours of operation unless otherwise defined, with occasional local and non-local travel as directed. All activities are tracked remotely to secure the work laptop and ensure productivity and work performance criteria are being met. The position requires absolute security of all company-provided equipment(s), material(s), company information, and customer information, whether in electronic or any other format at all times. All work activities (and inactivity periods) are monitored and recorded to ensure adherence to work schedule and job performance expectations to help ensure success in the role. Moreover, the position requires you to maintain strict control over your dedicated working environment/space as well as ensuring it is adequately organized, inclusive of the ability to mitigate background noise and people interactions while conducting work and/or during customer communications e.g., teleconferences, etc.
General Duties & Responsibilities
The general duties and responsibilities of the position are as follows:
- System Ownership & Enterprise Workflows: Manage, optimize, and configure Project Management System workflows to ensure maximum reporting accuracy and operational efficiency. Build system integrations with third-party tools and leverage low-code capability to automate recurring operations.
- Rigid Document Control & Data Integrity: Maintain absolute ownership of all data entering and exiting the project management platform. Implement and enforce rigid documentation controls, ensuring full traceability and audit readiness for sensitive compliance dossiers.
- Team Accountability: Stay exceptionally diligent in the details, drive team performance, and billable output. Monitor project updates daily and hold
- consulting team members strictly accountable to client deadlines and internal regulatory milestones.
- Financial Alignment & Billing Interface: Partner closely with the billing department to streamline accounting practices, track utilization, optimize team billability, and provide accurate revenue forecasting.
- Process Standardization: Turn dynamic, rapidly shifting project demands into repeatable, highly structured, and scalable business processes to reduce regulatory liabilities.

Required Qualifications:
- Education: Minimum of an Associate degree (2-year program) or equivalent corporate equivalent.
- Experience: At least 5 years of hands-on experience in a comparable role
- Certifications: Active, recognized professional certification (e.g., PMP, CAPM, CSM, or equivalent specialized workflow credentials).
- Technical Savviness: Hands-on experience customizing and managing modern cloud-based project management environments paired with a strong hunger and ability to master and deploy low-code automation tools.
- Meticulous Eye for Detail: A proven track record of managing strict data integrity, handling documentation control, and conducting daily system verification.
- Chaos Competency: Demonstrated ability to remain highly organized, structured, and composed within high-stakes, fast-moving consulting or professional services environments.
- Commercial Acumen: Understanding of how team utilization, project tracking, and timeline execution directly influence client billability, forecasting, and financial responsibility.
Preferred Qualifications:
- Educational Background: An educational background or coursework in a science-related field is highly preferred.
- Industry Experience: A professional background within life sciences, pharmaceuticals, or food consulting sectors is strongly preferred.
