Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
- Perform data entry and maintain organized filing systems, both physical and digital, including document proofreading and record keeping
- Utilize Microsoft Office Suite and Google Workspace tools for document creation, scheduling, and correspondence
- Support office management tasks such as calendar management, appointment scheduling, and event coordination
- Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide customer support by responding promptly to inquiries, offering assistance, and ensuring excellent service standards
- Handle clerical responsibilities including filing, photocopying, scanning, and managing office supplies inventory
- Support medical or dental receptionist duties as needed, including patient check-in/out processes and appointment confirmations
- Contribute to personal assistant tasks such as travel arrangements or special project support when required
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools
- Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with QuickBooks or bookkeeping software for financial recordkeeping
- Strong typing skills with attention to accuracy; capable of proofreading documents thoroughly
- Exceptional customer service skills with a friendly demeanor and professional communication style
- Ability to multitask efficiently while maintaining high levels of accuracy and attention to detail
- Experience in clerical tasks such as filing, data entry, and document management
- Knowledge of medical or dental receptionist procedures is a plus but not required
