Household Manager / Family Assistant / Assistant Project Manager
Location: Oberlin, OH, Bay Village, OH, and occasional support in Marblehead, OH
Position Type: Full-Time
Compensation: $30–$33 per hour, commensurate with experience
Schedule: Monday–Friday with flexibility required
We are seeking a highly organized, proactive, and dependable Household Manager / Family Assistant / Assistant Project Manager to support a busy family across multiple residences. This role is ideal for an experienced private household professional who excels at creating structure, maintaining systems, anticipating needs, and providing exceptional support to both the household and family members.
The successful candidate will be responsible for overseeing household operations, maintaining organization and efficiency, coordinating with household staff and vendors, and providing supplemental childcare support as needed.
Schedule
- Full-time position
- Generally, Monday–Friday
- Schedule may vary based on household needs
- Flexibility for one to two evenings per week (scheduled at least one month in advance)
- Occasional weekend support may be required with advance notice
Key Responsibilities
Household Management & Operations
· Assist the Operations Manager with daily household and administrative tasks
· Maintain household systems, routines, and organizational structures
- Anticipate household needs and proactively address issues before they arise
- Organize closets, storage areas, household inventories, and other organizational systems
- Coordinate household shopping, errands, and procurement of supplies
- Assist with dry cleaning, laundry care, and wardrobe maintenance as needed
- Organize, track, and submit household receipts and expense documentation
- Request approvals for household expenditures when required
- Support overall household order, efficiency, and day-to-day operations
- Assist with light household tasks, organization projects, and basic assembly work
Property & Vendor Coordination
- Coordinate and communicate with household vendors and service providers
- Work collaboratively with the handyman, farm manager, operations manager, and other staff members as needed
- Assist with watering landscaping and light outdoor upkeep
- Monitor household maintenance needs and ensure timely follow-through
Vehicle Management
- Conduct weekly vehicle maintenance checks
- Maintain vehicle cleanliness, including washing and vacuuming
- Fuel vehicles and monitor routine service needs
- Coordinate maintenance appointments as necessary
Childcare & Family Support
- Provide supplemental childcare support as needed
- Support after-school routines and daily schedules
- Assist with homework, homeschooling tasks, enrichment activities, and school-related projects
- Transport children safely to and from activities, appointments, and events
- Provide nanny coverage or fill-in childcare support when necessary
- Foster a positive, structured, and supportive environment for children
Administrative Support
- Maintain records, receipts, and household documentation
- Help implement and maintain family systems and routines
- Assist with special projects and household initiatives
- Support communication and coordination among household staff
Qualifications
- Prior experience as a Household Manager, Family Assistant, Private Nanny, Estate Assistant, Personal Assistant, or similar role in a private household
- Highly organized, detail-oriented, and proactive
- Strong time-management and multitasking abilities
- Professional, discreet, trustworthy, and reliable
- Comfortable supporting a busy household with multiple children
- Able to follow established systems while identifying opportunities for improvement
- Excellent communication and interpersonal skills
- Valid driver's license with a clean driving record
- Comfortable working across multiple household locations
- Flexible and adaptable to changing household priorities
