Overview
We are seeking a detail-oriented individual to become the welcoming face and voice of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Additionally this position provides administrative support for payroll, scheduling and credentialing, as well as providing backup coverage for the healthcare staff scheduling department. This position offers an exciting opportunity to develop your administrative and clerical skills within a dynamic environment.
Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, screening and directing calls efficiently and providing accurate information
- Handle all front desk duties including maintaining visitor logs, managing incoming correspondence, and storing incoming supplies in the appropriate locations
- Perform data entry tasks using Microsoft Office, ATS (applicant tracking systems), and other office software to update records and maintain filing systems
- Assist with office management tasks such as inventory control, supply ordering, and maintaining cleanliness of the reception area
- Support administrative functions including proofreading documents, managing calendars, and organizing meetings or events
- Provide customer support by addressing inquiries with excellent phone and email etiquette and ensuring timely follow-up while maintaining confidentiality
- Act as backup/assistance for the healthcare staff scheduling department by inputting received schedules into the system, receiving and processing shift requests, and tracking/updating contracts and other shift related tasks
- Assist other departments as needed with administrative tasks
Requirements
- Proven experience in office management, clerical work, or as a receptionist in a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), and basic data entry skills
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional communication skills, both verbal and written
- Experience handling multi-line phone systems and demonstrating professional phone etiquette
- Familiarity with PRN or shift scheduling, and payroll or timekeeping experience is advantageous but not required
- Prior experience as a receptionist, particularly in the medical field is a bonus; personal assistant experience is also valued
- Ability to manage time efficiently while maintaining attention to detail in proofreading and digital filing tasks

Pay: $17.50 - $20.00 per hour
