Job Overview
We are seeking a proactive and detail-oriented General Office Clerk to join our dynamic team. Bilingual in English and Spanish is required, preferably a male candidate who is able to lift 20lbs and is proficient in Microsoft Office applications especially Excel and Word. We are looking for candidates who are honest, trustworthy and hardworking. The ideal candidate will report to the office manager and will need to demonstrate strong organizational skills, technical proficiency, and a positive attitude to contribute to an efficient and welcoming office environment.
Duties
- Manage desk responsibilities, greet visitors and receive calls with excellent phone etiquette
- Operate multi-line phone systems to handle incoming calls efficiently and professionally
- File employees' files and office documents
- Monitor vehicle maintenance records and bring vehicles for service if needed
- Procure parts and supplies for machines and vehicles
- Monitor supplies inventory and procure tools and when needed for stocks
- Perform data entry and maintain accurate records using Microsoft Office
- Organize and file documents systematically, ensuring easy retrieval and compliance with company policies
- Book hotel reservations for the workers every morning
- Assist with basic account reconciliation of weekly fuel consumptions
- Support office management tasks such as calendar management and scheduling appointments
- Provide exceptional customer support by addressing inquiries promptly and courteously in person or via phone or via email
- Proven office experience with strong clerical and administrative skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills and computer literacy to handle data entry accurately and efficiently
