Because our executive team manages such a complex, multi-faceted operation, we are seeking a highly capable Executive Operations Coordinator to serve as the organizational and cultural anchor of our South Burlington office.
About the Role

In this role, you will do more than just manage schedules. You will be the driving force behind our office operations, helping to design better systems, manage projects, and foster a warm, welcoming, and highly functional office culture. This position offers a unique blend of high-level executive support, project management, and light HR responsibilities, with the opportunity to expand your impact over time.
What You Will Do
- Executive & Personal Support: Manage complex executive schedules, coordinate domestic and international travel arrangements, and provide high-level administrative support to the executive team and the company founder.
- Project & Meeting Management: Keep executive projects on track across our various divisions (from development to investment management), prepare meeting materials, and ensure follow-up action items are executed seamlessly.
- Systems & Process Design: Bring order to the office by identifying operational bottlenecks and creating, implementing, and maintaining effective systems to help the organization run smoothly.
- Culture & Office Operations: Serve as the welcoming face of the office. Plan internal events, coordinate catered lunches for on-site gatherings, and inject personality, warmth, and care into the daily workplace atmosphere.
- Light HR Support: Assist in building and supporting processes for hiring, onboarding, and team member reviews (with the potential for these responsibilities to grow).
Who You Are (The Ideal Profile)
- You are a natural system-builder. You instinctively create order out of chaos, love standardizing processes, and ensure things are done consistently. (If you are familiar with the Kolbe A Index, this role requires a strong natural instinct for Follow Thru).
- You have a strong administrative and project management background. You know how to keep multiple trains running on time without getting flustered.
- A paralegal background is highly desired. Experience with document management, compliance, or legal administration translates beautifully to the precision required for this role.
- You possess strong technical acumen. You are comfortable adopting new software and leveraging technology to improve office efficiency.
- You are a culture creator. You have a warm, approachable personality and genuinely care about creating a positive environment for the team.

- Base Salary: $70,000 - $72,000 per year
