Responsibilities
- Manage and coordinate complex calendars, scheduling meetings, appointments, and business travel arrangements with precision using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, transcribing meetings, and managing internal communication channels.
- Organize and plan events, conferences, and meetings from inception to completion, ensuring all logistics are handled seamlessly.
- Handle bookkeeping tasks such as invoicing, data entry, and utilizing QuickBooks for financial record-keeping.
- Facilitate project coordination by tracking deadlines, preparing reports, and collaborating with cross-functional teams to ensure project milestones are met efficiently.
- Maintain confidentiality by handling sensitive information with discretion while managing office operations and front desk responsibilities.
- Use video conferencing software for virtual meetings and ensure all technical aspects run smoothly for remote or hybrid engagements.
Qualifications
- Proven experience as an executive assistant or personal assistant supporting C-suite executives or senior management.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent written and verbal communication skills with attention to detail in proofreading and transcription tasks.
- Proficiency in productivity software including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry systems like QuickBooks.
- Experience with event planning, office management, bookkeeping, and project management tools is highly desirable.
- Demonstrated ability to handle confidential information responsibly while maintaining professionalism at all times.
- Technical proficiency with video conferencing platforms (e.g., Zoom, Microsoft Teams), multi-line phone systems, and office equipment such as scanners and printers.
- Strong phone etiquette and customer service skills to interact effectively with internal teams and external contacts.
